Goal
Connect an Outlook.com, Hotmail, Live or Microsoft 365 mailbox to 4fleet. You sign in on Microsoft's own page and approve access, so you do not type a password into 4fleet.
Prerequisites
- You are an Owner or Admin.
- Your plan includes email integration and has a free mailbox slot.
- You can sign in to the Microsoft account that owns the mailbox.
- For a Microsoft 365 work address, your organization may require an administrator to approve 4fleet first. See Troubleshooting.
Steps
- Open Settings > Communications > Email accounts.
- Select Add email account.
- Enter the address in Your work email address and select Continue. 4fleet recognizes Outlook, Hotmail, Live and MSN addresses, and business addresses whose mail is hosted at Microsoft.
- Select Connect with Microsoft. 4fleet takes you to Microsoft's sign-in page.
- Sign in with the Microsoft account and approve the access that Microsoft asks for. 4fleet needs permission to read and send mail for this mailbox.
- Wait for Microsoft to return you to Settings > Communications. A "Microsoft mailbox connected." message appears.
- Find the new row in the Email accounts list and check that its provider is Microsoft and its status is Connected.
- Open Account actions on the row and select Test connection. A "Connection test successful" message confirms 4fleet can reach the mailbox.
Expected result
The Microsoft mailbox is listed with the status Connected. Its emails appear in the Inbox, and emails you send from 4fleet go out through this mailbox.
Troubleshooting
- If Connect with Microsoft does not appear and the window shows the normal password form, the address was not recognized as a Microsoft mailbox. Check the address, or select Use a different address and enter it again.
- If 4fleet says the Microsoft sign-in took too long, start again from step 2. This message also appears when the sign-in is finished in a different 4fleet account or company than the one that started it.
- If 4fleet says the connection was cancelled at Microsoft, you did not approve the access. Start again and approve it, because 4fleet needs your permission to read and send your mail.
- If 4fleet says your organization's Microsoft administrator has to approve 4fleet first, an administrator of your Microsoft 365 tenant must approve it. Reply to your 4fleet welcome email, or write to support@4fleet.io, and support will send you the approval link for the administrator.
- If 4fleet says your plan does not include email integration, or that you have used all mailboxes in your plan, change your plan or remove an unused mailbox.
- If 4fleet says this Microsoft mailbox is already connected, it is on the list already.
- If a Microsoft mailbox shows the status Expired or Error with the note "Microsoft sign-in expired. Reconnect to keep receiving and sending.", select Reconnect with Microsoft on its row and sign in again. The same row is updated, so you do not add a second one.
- If you select Edit on a Microsoft mailbox, only the name is saved. A Microsoft mailbox has no server settings to enter.
- If 4fleet says it could not connect your Microsoft mailbox, reply to your welcome email or write to support@4fleet.io, and support will set it up with you.
