Who runs on 4fleet

One system, every kind of job you take.

Airport runs, corporate accounts, as-directed days and partner work - the same board handles all of it. Each card opens the page that sells it properly.

Build a job

You set the rules once.
4fleet quotes the rest.

Pick a service type, a vehicle class and how it bills. The job ticket rebuilds live - that is exactly what your dispatcher sees.

The operations line

From “can you quote this?” to money in the account.

Six stages, one record. Change the pickup time once - everyone already knows.

01

Enquiry lands

Email, web form or phone - it arrives as a structured request with pickup, dropoff, passengers and a clock on it before it goes cold.

Inbox syncGoing-cold alertsClient match
02

Quote goes out

Your own rates, zones and hourly packages price the trip - fixed, hourly or per-day - and the quote goes out branded, in minutes.

Rate cardsAccount pricingYour branding
03

Booking confirmed

Accepted quotes become bookings without retyping. Multi-day trips stay one job, visible to the whole office on one calendar.

04

Dispatch & drivers

Assign per job, to your own driver or a partner. The driver sees it on their phone; you keep the client relationship.

05

The job runs

Flight monitoring follows the plane. The client opens a tracking link and watches the car come to them - without ringing your office.

06

Invoiced & reconciled

The figures come from the job, not a second entry. Card payment through Stripe, statements for account clients, margin on every job.

StripeStatementsMargin per job

Built for the way you actually work

Fleet software that
survives a Friday.

Peak-hour dispatch, a last-minute farm-out and an account client asking for a statement - at the same time.

Nothing goes cold

Enquiries carry their own clock. The dashboard shows what is about to be lost before it is lost.

Your rates, your rules

Per-account pricing, hourly packages, waiting time and extras - configured once, applied automatically.

Partners as first-class

Farm-out and inbound work tracked with committed cost and margin per job, not a partner invoice three weeks later.

One ledger

Job revenue, driver pay and partner cost on the same record. Month-end takes an hour, not a weekend.

Route shown is illustrative.

The dashboard

Open one screen and know where the day stands.

Needs-attention first, then the schedule, then the money. In that order, because that is the order you ask.

Carson, the AI assistant

An email arrives. A priced quote is waiting.

Connect the mailbox your clients already write to. 4fleet reads what arrives the way you would, plans the trip, prices it against your own rate card and hands you a draft. You approve every price before a client ever sees it.

Questions

The reasons you have not switched yet.

“I have three years of bookings in a spreadsheet.”

Bring them. Clients, vehicles, drivers, rate cards and historic bookings import from CSV and Excel, and everything you put in comes back out the same way. Your data does not become ours.

“It is more than I want to spend.”

Starter is €99 a month - one airport transfer of turnover, closer to two of what you actually keep. What it has to earn back is one job a month. If it does not, cancel in one click and download an export on the way out.

“You want the password to the mailbox my clients write to.”

So the answer had better be specific. Your data is hosted in the EU, in Ireland, encrypted in transit and at rest, filtered by company in the query and again by the database itself. Enquiries are read by AI under a data processing agreement and nothing is ever used for training. The full picture is on our security page.

“I have five years of history and eight people trained on what we use.”

Then do not cut over. Connect the mailbox, quote the enquiries that arrive from that day forward here, and let the old system finish the work already in it. Nothing forces a cutover date - most operators who switch run both for a while.

“I have never heard of you.”

Fair. So we ask for nothing up front: no card for the trial, no annual contract, cancellation in one click and an export of your records whenever you want it. Judge the software, not the logo.

The practical bits

Do I need a card to start the trial?

No. Seven days, full Professional feature set, no payment details.

Do my drivers need to install an app?

No - the driver portal runs in a phone browser; they get a link and their jobs for the day. There is also an Android app on Google Play for drivers who want tracking to survive a locked screen.

Do my drivers use up my team seats?

Only the ones you give a driver app login to. A driver kept as a record - their jobs, their documents, what they are owed - takes no seat. If you drive yourself, link your own account rather than adding a second one. Extra seats are €8 a month.

What happens if I outgrow a plan?

Add vehicles at €12 and users at €8 per month, or move up a plan. Nothing stops mid-month.

Is it white-label for my clients?

Quote documents, tracking links and the client portal carry your name and branding, not ours.

Who you are dealing with

4fleet is built by BuildFlow - you should know whose software it is before you hand it over. hello@4fleet.io

How support works

Email, answered on working days. There is no phone line, no round-the-clock desk and no chat widget - we would rather say so than promise a queue we cannot staff. hello@4fleet.io

Seven days, no card

Quote your next enquiry in 4fleet.

Set up one vehicle class and one rate, then answer the next email that lands. That is the whole test - and it takes an afternoon, not a quarter.
