Large operators

You are not short of data. You are short of the answer.

An office, several people with logins, corporate accounts with expectations, and partner work in both directions. Capacity stopped being the constraint a while ago. Knowing what is true across all of it, without reading every job, is the constraint now.

What gets expensive at this size

The costly things stop being operational.

A missed job costs one fare. A month you cannot explain, an invoice nobody can account for and an account that quietly leaves cost considerably more, and none of them announce themselves.

The question

Was last month good, and why

Revenue you know. Which accounts carried it, which vehicle class earned its keep and which work you were busy losing money on is a different question, and answering it from exports takes long enough that nobody asks it monthly.

The team

Everyone can see everything, so nobody owns anything

One shared login, or five logins with identical reach. It works until somebody edits a sent invoice, and then there is no answer to who and no way to have prevented it.

The account

Corporate clients want their own window

A PA who has to email you for a quote, a booking status or last quarter's invoices is a PA who compares you unfavourably with an operator whose portal they can just open.

What the size actually needs

Control, and a number you can defend.

Two things separate this from the smaller pages: who can reach what, and whether the figure you take to a board meeting survives being questioned.

Permissions
Per person, per area, so access is a setting rather than a matter of trust
Margin
Computed per job from the legs and the awards, never from a booking total
Reporting
Report generators across revenue, jobs, fleet and people, to CSV and PDF
Client portal
Corporate accounts request cars, read quotes, pay and pull documents, in your branding
Partner work
Committed cost beside the client price, with payables per partner and per booking
Developer API
REST endpoints and webhooks for the systems you already run
Invoice integrity
A sent invoice cannot have its figures edited; voiding keeps the history
Capacity
Vehicles and seats added at published prices, without a call or a new contract

Moving an office

One desk, one month, nothing switched off.

An operation this size does not migrate on a weekend, and any vendor who says otherwise is describing a smaller company than yours.

  1. 01

Import the history, not just the address book

Clients, vehicles, drivers, rate cards, partners and past bookings linked to the client they belonged to. Past work is what makes a client's usual routes and rates worth anything on day one.

  2. 02

    Decide who can reach what

Before anyone logs in, not after. Set access per person and per area so the first week establishes the shape rather than retrofitting it once habits exist.

  3. 03

    Run one office in parallel

Not the whole company. One desk, one month, with the old system alive beside it, so the disagreements surface while there is still something to fall back to.

  4. 04

Open the portal to two accounts

Pick the two corporate clients who email you most and give them their own window. Their behaviour over a month tells you more than any internal review.

The honest part

Where we are not the right answer.

If your procurement requires certifications, we publish the ones we hold and name the ones we do not rather than implying coverage. If you need a bespoke integration with a specific finance package, there is an API and there is no ready-made connector. And if you want a vendor with a support desk in three time zones, that is not us today.

Questions

Can I stop staff seeing everything?

Yes. Access is set per person and per area, so what someone can open is a configuration rather than a matter of trust. Drivers see the job they are doing; they do not see what the client paid.

Does it handle more than one office or brand?

Each company is a separate workspace with its own data, and a person can belong to more than one and switch between them. Ask us about your exact structure before you commit rather than after.

Can it talk to the systems we already run?

There is a REST API with webhooks, so bookings and their changes can reach your own tooling. What we will not claim is a ready-made connector for your specific finance package.

How do we move without stopping?

You do not cut over on a date. Import what you have, run one desk in parallel for a month, and let the old system finish the work already inside it. Any import can be rolled back in one action.

What does it cost at our size?

The plan price plus vehicles and seats, all published on the pricing page. There is no per-booking fee and no quote to wait for; you can work the number out yourself before talking to anyone.

Is this going to be another eighteen-month rollout?

It is not built that way. There is no discovery phase to buy, no per-seat consultant and no change request to raise when your rates move; the rate card is a screen your own staff edit. What it does take is one desk running in parallel for a month, which is honest project time rather than vendor time.

Are you big enough for us?

That is a fair question and the honest answer is that we are a small vendor with a live product and a paying operator on it. If your procurement needs a certification we do not hold, we will tell you which ones those are rather than imply otherwise.

Bring one desk and one month.

Import the history, set who can reach what, and run a single office beside the system you have. We will walk the structure with you first.
