At one car you were the whole business and that was fine. At six, you are the routing table everyone queries, and the queries arrive while you are driving, quoting or asleep.

Getting there

One setup week, then a week you test it.

The setup is real work and it is worth being honest about that. It is also the last time this particular work has to be done.

    Put the fleet and the drivers in

    Vehicles, classes, drivers and their documents. This is the part that only happens once, and it is what makes every later step answerable by somebody other than you.

    Write down the rates you already use

    They exist; they are just in your head. One vehicle class and one rate is enough to start, and the rest can follow as real enquiries arrive.

    Give the drivers their link

    No app store, no accounts to create. They open the day's work in a phone browser, and the questions that used to reach you stop being questions.

    Let someone else answer one week

    That is the actual test of whether the business has left your head. Run a week where the board answers, not you, and see what still had to be asked.

What it will not fix.

It will not make a driver reliable, and it will not decide which of two good jobs to take when they collide. It also cannot get the business out of your head on its own: the fleet, the rates and the documents have to be entered, and that is a week of your attention before any of this pays you back.

Questions

We are four cars. Is this not too much system for us?

The size that makes this worth it is not a car count, it is the moment work is done by someone who is not you. One driver you have to keep informed is already the problem this solves; four of them is the problem daily.

My drivers are not technical.

They open a link and see their jobs for the day. There is no account to create and no app to install. The Android app exists for drivers who want tracking to keep running with the screen locked, and nothing depends on them wanting it.

Do I have to stop driving to use it?

No, and most operators at this size still drive. Link your own account rather than adding a second one for yourself, and you appear on the board like anyone else.

How do driver payments work?

Settlements are built from the jobs actually driven rather than from a monthly reckoning. You approve them, mark them paid and export them; what you owe stops being a conversation.

Can I stop someone seeing what clients paid?

Drivers see the job they are doing, not the client's price. Office access is set per person, so what someone can open is a decision you make rather than a matter of trust.

What if we grow past this?

The same board carries a dispatcher when you hire one. Add vehicles and seats at the published prices; nothing has to be rebuilt at ten cars or at twenty.
