Add a fee or discount to a quote

Goal

Add an extra fee, such as tolls or parking, or a discount to a draft quote as its own line, so the client sees exactly what was added.

Prerequisites

• The enquiry has a quote that has not been sent yet. See the article about generating a quote.
• You can edit enquiries (Owner, Admin, Manager and Dispatcher roles can). Removing a line needs permission to delete enquiries, which Owner and Admin roles have.

Steps

1. Open Enquiries, select the enquiry and open the Quotes tab.
2. Open Quote builder if it is collapsed and find the Manual Adjustments card.
3. To add a fee, select Fee and pick a ready-made name such as Tolls, Ferry Crossing, Parking, Airport Parking, Accommodation, Meet & Greet, Extra Waiting Time, Child Seat or Luggage Assistance. For anything else, pick Custom Fee....
4. To add a discount, select Discount and pick Early Booking Discount, Loyalty Discount, Package Discount, Corporate Rate or Promotional Discount, or pick Custom Discount....
5. In the window Add Fee or Add Discount, check the Label. The client sees this text on the quote.
6. Enter the Amount as a positive number. For a discount, 4fleet subtracts it from the total.
7. Optional: add Notes (optional) for your own reference.
8. Select Add.
9. Check the Adjustments Total on the card and the new total in the Quote Breakdown.
10. To change a line later, open its menu, select Edit, change it and select Save Changes. To take it off, select Remove.

Expected result

The fee or discount is listed on the quote as its own line, the quote total moves by exactly that amount, and the saved quote email shows the new line.

Troubleshooting

• If you cannot add or edit lines, the quote has already been sent. The card says that this version was sent to the client. Select New version in Quote History, then change the fees on the new version.
• If you see Label is required or Please enter a valid positive amount, fill in the label and enter an amount above zero without a minus sign.
• If Meet & Greet or Child Seat is also an extra in Pricing Configuration, check the Quote Breakdown so the same item is not listed twice.
• If you recalculate the quote afterwards, look at the lines and the total again before you send it.
• If Remove is missing, your role does not include permission to delete enquiries. Ask an Owner or Admin.
