Goal
Have 4fleet email a client automatically when they have not answered a quote, on delays you set. Automatic follow-ups are off until you turn them on.
Prerequisites
- You are an Owner or Admin, the roles that can change settings.
- A mailbox is connected and working. If it is not, the follow-up tab shows a red notice that follow-up emails cannot be sent.
- You understand that turning this on also covers enquiries that are already Quoted.
Steps
- Open Settings > Automations & AI > Follow-ups.
- Find the card Automatic Quote Follow-ups and switch on Enable Automatic Follow-ups.
- Under Follow-up Timing, enter how many hours after the quote each email goes out: First Follow-up, Second Follow-up and Third Follow-up.
- Optional: switch on Auto-mark no response as lost. Then set No Response Delay, the hours after the final follow-up before the enquiry moves to Lost with the reason No Response.
- Select Save Follow-up Settings.
- In the window Start sending follow-up emails?, read the warning and select Turn on and save.
- Optional: use the Templates button on the same tab to read or change the wording of the emails, and Logs to see what was sent.
Expected result
A message says Automatic follow-up settings updated. From now on, each time a quote is sent and the enquiry is Quoted, the follow-up emails are scheduled on your delays. They stop when the enquiry is marked Won or Lost.
Troubleshooting
- If the page shows Email is not connected, connect and test your mailbox first. Follow-ups cannot be sent without it.
- If you do not see the window Start sending follow-up emails?, the switch was already on and you only changed other settings.
- If you turn the switch off and save, no new follow-ups are scheduled. To stop one enquiry, mark it Won or Lost.
- If your own sequence steps are set up lower on the page, their timings take priority over the schedule at the top of the tab.
- If you want a reminder for your team instead of an email to the client, use a follow-up reminder task on the enquiry.
