Schedule a follow-up reminder for a quote

Set a reminder task to call or email a client about a quote on a chosen day, so the quote does not go cold.

Goal

Create a reminder for your team to follow up with a client about an enquiry on a day you choose. The reminder is a task for your office. It does not send anything to the client.

Prerequisites

  • An enquiry exists, usually one with a quote already sent.
  • You can create tasks (Owner, Admin, Manager and Dispatcher roles can).

Steps

  1. Open Enquiries and select the enquiry.
  2. In the header of the enquiry, select Follow Up. Its tooltip reads Schedule a follow-up.
  3. In the window Schedule Follow-Up, choose the Follow-up Type: Email or Phone Call.
  4. Pick the time. Under Quick Options, choose In 2 hours, Tomorrow AM, In 2 days or Next week. Or use Or Choose Custom Date & Time and set Select date and Select time. A custom date cannot be in the past.
  5. Optional: write Notes (optional) for whoever picks up the task.
  6. Check the Reminder Preview.
  7. Select Schedule Follow-Up.
  8. To find the reminder later, open Tasks in the sidebar.

Expected result

A message says Follow-up Scheduled, and a task titled for example "Email follow-up: Client name" is created with your chosen due date, linked to the enquiry. It is listed in Tasks.

Troubleshooting

  • If you see Date Required, no date was chosen. Pick a quick option or select a date first.
  • If you see Failed to schedule follow-up. Please try again., try once more. If it keeps failing, your role may not include permission to create tasks. Ask an Owner or Admin.
  • If you expected the client to receive an email, note that this reminder never contacts them. To have 4fleet email clients after a quote on its own, turn on automatic quote follow-ups in settings.
  • If the reminder is no longer needed because the client replied or booked, update the task in Tasks so nobody chases the client twice.
