Goal

Connect a Gmail, Yahoo or iCloud mailbox to 4fleet. These providers do not accept your normal password from another application, so 4fleet asks for an app password that you create at the provider.

Prerequisites

  • You are an Owner or Admin.
  • Your plan includes email integration and has a free mailbox slot.
  • You can sign in to the Google, Yahoo or Apple account that owns the mailbox.
  • 2-Step Verification is switched on for that account, or you are ready to switch it on in step 5.

Steps

  1. Open Settings > Communications > Email accounts.
  2. Select Add email account.
  3. Enter the address in Your work email address and select Continue. Gmail addresses, and business addresses hosted on Google, get the app password screen.
  4. Read the line above the password box. It says that Google or Yahoo needs an app password, or that iCloud needs an app-specific password, and not your normal password.
  5. Select 1. Turn on 2-Step Verification. The provider's page opens in a new tab. Turn on 2-Step Verification there if it is not already on, then return to 4fleet.
  6. Select the second link, which starts with 2. Create an app password. The provider's page opens in a new tab. Create the app password there (any name works, for example 4fleet) and copy it.
  7. In 4fleet, paste the app password into Paste your app password here (not your normal password).
  8. Select Connect. 4fleet signs in to the receiving and sending servers before it saves the mailbox.
  9. When the window shows Connected, select Go to Inbox.

Expected result

The mailbox is listed under Settings > Communications > Email accounts with the status Connected, and its emails start to appear in the Inbox.

Troubleshooting

  • If the window says the password was refused, check that you pasted the app password and not your normal password. You can create a new app password with the links above the box.
  • If you need to create a new app password, go through the two links again. The provider's own pages show how.
  • Google shows an app password in groups of characters separated by spaces. For Gmail and Google-hosted addresses 4fleet removes the spaces for you.
  • If the window says it could not reach your mail server, open Advanced settings and check the server names and ports.
  • If the window says the mailbox is already connected, it is on the list. Use Edit on its row to replace the password with a new app password.
  • If the provider revokes the app password later, the mailbox stops syncing. Create a new app password and enter it with Edit on the mailbox row.
