Goal
Record a request that did not arrive by email, such as a phone call or a message, as an enquiry in 4fleet with the client, route, date and passenger count filled in.
Prerequisites
- You can see the New enquiry button on the Enquiries page. Owner, Admin, Manager and Dispatcher roles have it.
- You know the client's name and email address, the pickup and dropoff, the date and time, and how many passengers.
Steps
- Open Enquiries in the sidebar.
- Select New enquiry. The Create new enquiry window opens.
- Optional: under Quick templates, select one of Airport, Transfer, Tour, Corporate, Wedding or Hourly. A template fills the passenger count, the source and some starting notes. It never fills a price.
- Search under Find an existing client to reuse a client you already have. To add a new one, type the Client name and Client email.
- Enter the Pickup location and the Dropoff location. Choose each address from the suggestions that appear as you type.
- Under Date and time, choose the day from the calendar, then set the time. The date must be today or later.
- Enter the number of Passengers (1 to 50) and choose the Source: Email, Website, Phone, Partner or Referral.
- Optional: choose a Service type and add Special requests. Open More details if you also want to add the Client phone, Vehicle class, Flight number or an estimated value.
- Select Create enquiry.
Expected result
The window closes, a message says Enquiry created, and the enquiry appears in Enquiries with the status New. You can open it to generate a quote.
Troubleshooting
- If Create enquiry does not save, read the red messages under the fields. A name needs at least 2 characters, the email must be valid, pickup and dropoff are required, and the date must not be in the past.
- If you cannot see New enquiry, your role does not include permission to create enquiries. Ask an Owner or Admin to check your role.
- If a template says Not in your catalog yet, your catalog has no active service of that type. Choose a service yourself, leave it unchosen, or use Add this service to your catalog.
- If Possible Duplicate Detected appears, open the match from the warning to check it. If it is a different request, select Dismiss and continue.
- If the Service type stays on None after you pick a template, several of your services match the template. Choose the right one in the list.
