Goal
Open the Enquiries page, see which enquiries need action first, and move each one to the right status.
Prerequisites
- You can view enquiries. Moving an enquiry to another status also needs permission to edit enquiries (Owner, Admin, Manager and Dispatcher roles have both).
- At least one enquiry exists. Use New enquiry to add one if the page is empty.
Steps
- Open Enquiries in the sidebar. The page opens in the Next action view.
- Read the Needs action figure and the Value of open enquiries figure at the top. The first counts the enquiries that wait for a person. The second adds up the open enquiries that match the current filters.
- Look at the queues: Client replied, Follow-up, Partner decisions, First quote and Missing info. Each enquiry sits in one queue only, the one that matters most for it. Select a queue name to show just that queue, or All enquiries to see everything.
- Start with Client replied. Select an enquiry card to open it, read the reply and act on it.
- Go back to the page and take the next queue. First quote holds enquiries that still need a quote, and Missing info holds enquiries that lack details needed for pricing.
- To see the whole sales funnel, switch the view to Pipeline. The columns are the statuses New, Quoted and Negotiating. Won and Lost enquiries are included when you switch to this view.
- To change a status, drag the card to another column. If you drop it on Lost, a window titled Mark Enquiry as Lost asks for a Reason for loss. Choose one and select Mark as Lost.
- For a long list, switch the view to Table. Use the search box, the Filters button and Show closed enquiries to narrow it down, then select a row to open the enquiry.
Expected result
You know which enquiries need action today, each one you handled has moved on or been updated, and the queue counts at the top have gone down.
Troubleshooting
- If an enquiry you expect is missing, clear the filters with Clear All and check that Show closed enquiries is on when you are looking for a Won or Lost one.
- If you cannot drag a card, your role does not include permission to edit enquiries. The Next action view is a grouping by queue, so cards in it cannot be dragged either. Use the Pipeline view.
- If dragging an enquiry to Won does not create a booking, that is expected. Moving a card changes the status only. Open the enquiry and use Create booking to make the booking.
- If a queue shows nothing, there is nothing waiting in it. Enquiries that need no action stay out of the queues and remain in the Table and Pipeline views.
