Invite a client contact to the portal

Invite a person at a client to the client portal by email or link, choose their role and revoke access later.

  • For Operators
  • Plans: Operations, Scale
  • 5 min
  • Checked

Goal

Give one person at a client a sign-in to the client portal, with the access that fits their job.

Prerequisites

  • Your plan includes the client portal (Operations or Scale). Without it the card reads "Client portal is not on your plan".
  • Your role can edit clients.
  • The client record exists and you know which person should have access.
  • For the emailed invitation, your business mailbox is connected under Settings > Communications. Without it, use the invite link.

Steps

  1. Open Clients and select the client.
  2. Select Contacts & people in the client sections.
  3. In the Client portal access card, enter the person's address in Invite by email.
  4. Open Portal role and choose Administrator, Booker or Finance. A line under the field explains what the role can see. You cannot invite without choosing one.
  5. Select Invite. An Invite sent message confirms the email went out.
  6. If you would rather send the link yourself, find the person's row and select Copy invite link. An Invite link copied message confirms it, and the emailed link keeps working.
  7. Check the status on the person's row. It reads Invited until they activate, then Active.
  8. To change access later, select Change role on the row, pick the new role and select Save role.
  9. To remove access, select Revoke on the row, then Revoke access to confirm.

Expected result

The person is listed under the client with their role and an Invited status, which becomes Active after they accept. The invitation is valid for 7 days. Revoking takes effect immediately.

Troubleshooting

  • If the toast says the invite was created but the email did not send, check the address, then use Copy invite link or Send access link on the row.
  • If the invitation email did not arrive, select Send access link on the row to send a fresh one. The newest link replaces the earlier one.
  • If a message says there is no invite link to copy, the person has already activated their access. Use Send access link if they need a new sign-in link.
  • If the Invite button is disabled, a Portal role has not been chosen yet.
  • If a message says to use Change role, the address already has access with a different role. Change the role on the existing row instead.
  • If you change a role, existing link sessions and unused invitations end at once, so send a new invitation if needed.
  • If the card is missing or read-only, your role cannot edit clients, or your plan does not include the portal.
