Invite a team member with the right role

Invite one office user, assign the least-privileged suitable role, and verify access from the active company membership.

Goal

Invite one team member and give them only the access required for their job in the active company.

Prerequisites

  • You are the company owner. Team membership changes and custom-role writes are owner-only.
  • A tested mailbox is connected if 4fleet should send the invitation email.
  • You know the user's unique email address and required responsibilities.
  • Your plan has capacity for another user.

Steps

  1. Open Settings > People, then Team Members.
  2. Review Roles & Permissions before inviting. Open a default role to see its exact access.
  3. If no default role fits, select Create Custom Role, name it, select the minimum required permissions, and select Create Role.
  4. Return to Team Members and select Invite User.
  5. Enter the user's email address and choose the reviewed role.
  6. Keep Send invitation email enabled when the company mailbox is ready.
  7. Select Send Invitation.
  8. Confirm that the new member appears with the intended role and invitation status.
  9. Ask the user to accept the invitation and sign in. Verify that they can open required screens and cannot open restricted screens.
  10. When responsibilities change, use Edit Team Member to change the role. Use deactivate for temporary removal and delete only when permanent removal is intended.

Expected result

The user joins the intended company, receives the selected role from the company membership, and can perform required work without unnecessary permissions.

Troubleshooting

  • The invite email did not arrive: verify the recipient and connected mailbox, then resend rather than creating another identity.
  • The user already exists: the invite should add a company membership instead of duplicating the global account.
  • The role is missing: confirm that the custom role is active and that its name is unique in the company.
  • A custom role cannot edit Team: this is intentional. Custom roles may receive Team view, while Team writes require the Owner role.
  • The user sees the wrong company: have them switch to the intended company and verify the active membership.
  • The plan limit is reached: open Finance and review user usage before inviting another member.
