1. Decide what you are comparing before you look at vendors.

Most chauffeur management software covers the same core: taking bookings, pricing them, dispatching drivers and invoicing clients. The differences sit in the details that shape your day. Look at how enquiries arrive and become quotes, whether drivers get a native app on both iPhone and Android, how work is shared with other operators, and which currencies, taxes and payment providers work in your country.

For UK and Irish operators, check sterling and euro invoicing, VAT handling, support hours that overlap your working day, and whether card processing is offered outside the United States. Pricing models differ widely: some vendors charge per user licence, some by trips per month, some by fleet size, and several add a setup fee. Compare the cost at your real volume, not the entry price.

2. Limo Anywhere: a long-established system for limousine and livery operators.

Limo Anywhere describes itself as software for black car, limousine and livery businesses, and says it is the platform of over 5,400 limousine and livery operators in more than 60 countries. Its plans include reservation and dispatch management, back-office tools, reporting, a driver app listed on Google Play and the App Store, an online booking engine for your website, flight tracking and vehicle maintenance. A passenger app is offered as an add-on or on its top plan.

Its affiliate network, LA Net, lets operators exchange farm-in and farm-out work with other Limo Anywhere customers. Pricing is published on its website in US dollars: three plans priced by monthly trip volume, with a per-trip charge and a one-time setup fee. It states that plans run month to month with 30 days' notice to cancel. Its own payment processing is for operators based in the United States, with partner providers elsewhere, and scheduled text messaging is listed for the US and Canada only.

  • Consider it if you want an affiliate network of operators on the same system.
  • Check which payment provider you would use in the UK or Ireland, and its fees.
  • Check the total monthly cost at your trip volume, including per-trip charges.

3. Moovs: an all-in-one platform with a free plan and published prices.

Moovs serves several kinds of transport business, including chauffeur, limousine, shuttle and coach operators. Its site lists dispatch and reservation management, quotes, a customer booking link and customer portal, an embeddable booking widget, farm-in and farm-out, driver apps for iOS and Android, live trip tracking, payment processing and an optional branded passenger app. It also sells marketing services such as websites, search optimisation and paid advertising.

Moovs publishes its prices in dollars: a free plan with limits on vehicles, drivers and rides, then paid plans set by fleet size, with no per-trip fee, a one-time setup fee and card processing fees that fall on higher plans. Some integrations, such as accounting sync and vehicle telematics, are tied to its top plan. Its website gives live support hours in US Pacific time, so check how they overlap with your working day.

  • Consider it if you want online booking, a customer portal and payments in one subscription.
  • Check which features sit on which plan, since several appear only on higher tiers.
  • Check card processing and currency support for a UK or Irish business.

4. Ground Alliance: dispatch with telephony and an affiliate exchange.

Ground Alliance describes itself as limo reservation and dispatch software for ground transportation operators, and says it serves operators in North America, Europe and Asia-Pacific. Its site lists drag-and-drop dispatch, a chauffeur app for iOS and Android, a white-label passenger app, a client members area, custom booking websites, reporting, and telephony that connects passenger and chauffeur calls with masked numbers.

Its affiliate exchange lets member operators share jobs and split revenue, and lets you block affiliates you do not want to work with. Pricing is published on its site in dollars, with plans set by trips per month and a one-time setup fee. Text messaging and number masking run through your own Twilio account at extra cost. It advertises support around the clock and lists a support phone line for the US and Canada.

  • Consider it if masked calls between passengers and chauffeurs matter to you.
  • Check the running cost of text messages and calls through your own account.
  • Check how support reaches you from the UK or Ireland.

5. Chauffeur Drive Systems: a Scottish platform priced per licence.

Chauffeur Drive Systems is based in Stirling and builds cloud software for chauffeur companies and owner-drivers. Its site lists a driver app for iPhone and Android, a passenger app you can use as supplied or brand as your own, client and web portals, live driver tracking, automatic pricing and invoicing, and the ability to run several companies, currencies and time zones from one dashboard.

Its own partner network lets you vet the operators you share work with, it connects to external chauffeur booking networks, and it can send client communications under your brand when a partner does the job. Pricing is published per licence per month plus VAT, with no contract. You pay only for users who edit data, and view-only logins are free. A demo is arranged by phone or email.

  • Consider it if many people need to see the diary but few edit it.
  • Check how the licence count applies to your office team and drivers.
  • Check partner network coverage in the cities where you send work.

6. Dispatch by Dever Software: a UK system for chauffeur and transfer work.

Dever Software is a UK company, established in 2013, with offices in Devon and Hampshire. Its product, Dispatch, is aimed at chauffeur, limousine, private hire, airport, cruise and ferry transfer and courier businesses. Its site lists driver and passenger apps on iOS and Android, a booking form for your website, a customer web portal, journey, point-to-point, mileage and hourly tariffs, and standard charges such as congestion or low emission zone fees.

It also lists partner and affiliate management with invoicing for shared work, notifications by email or text message, card payments with pay-now links, and export of invoices and driver pay to accounting packages such as Sage, QuickBooks and Xero. It states that it is Transport for London compliant and compatible with Making Tax Digital. Pricing is not published on its site; it offers a free trial and says there are no contracts.

  • Consider it if you want a UK supplier with exports for UK accounting packages.
  • Check whether accounting is a live connection or a file export.
  • Ask for pricing at your user and vehicle count before the trial.

7. 4fleet: what it covers and what it does not do yet.

4fleet is our product, so read this section with that in mind. It is built around the enquiry: it reads requests from your own mailbox over IMAP and SMTP into structured enquiries on a pipeline board, prepares quotes the client accepts through a link, and turns accepted quotes into bookings. From there it covers dispatch, a driver portal in the phone browser plus an Android app on Google Play, a client portal, partner tendering, and invoices with a Stripe payment link. Its prices are published on the pricing page, with monthly or yearly plans sized by vehicles and users, and a free trial.

It also has limitations. It is a newer product, so it has a shorter track record and fewer operators you can ask for a reference. There is no iOS app yet. It cannot send jobs out to external booking networks; partner work goes to operators you invite. It does not send text messages, has no website booking widget with instant prices, has no live sync with Xero or QuickBooks (invoices export as CSV), and invoicing in several currencies is not released yet.

  • Consider it if most of your work arrives by email and needs a quote.
  • Check that your drivers can work with Android or a phone browser.
  • Check which plan includes the features you need on the pricing page.

8. Choose with a trial on your own bookings.

Shortlist two or three platforms that fit your size and the way work reaches you. Run each trial on the same real jobs with personal details removed: a straightforward airport transfer, a multi-stop day, a late change, a partner job and an invoice paid in part. For each job, record whether it worked, needed setup or did not fit, and keep the evidence.

Ask every vendor the same questions in writing: total monthly cost at your volume, setup fees, notice period, how you export your data if you leave, support hours in your time zone, and payment and currency support in the UK or Ireland. Features and prices change, so check each vendor's current website before you decide. The buyer's guide sets out a fuller scorecard for those trials.
