Ask clients for missing details

List new enquiries that cannot be quoted yet, see exactly which details are missing per job, and get one short draft asking the client for them.

What it does

Carson reads your new enquiries and their jobs and lists the ones that cannot be priced yet: no date or pickup time, no address, no passenger count, no flight number for an airport pickup, or no hours for an hourly job. For each enquiry with an email from the client, it drafts one short reply in that thread asking only for what is missing. It does not mention a price or promise availability.

Before you start

  • Drafting replies needs the Operations or Scale plan. On Solo and Starter, Carson still lists the missing details, and you write the emails yourself.
  • The enquiries came in by email, so they are linked to the client's message.
  • Carson asks before it saves a draft. An Owner can change that for Inbox in the Assistant's action permissions.

Steps

  1. Open Assistant. The Chat tab opens first.
  2. Paste this prompt into Message Carson... and press Enter:
List enquiries in status new. If the list is truncated, tell me the total count. For each one, read the enquiry, its readiness checks and its jobs and find the ones that cannot be quoted yet because details are missing: pickup date or time (a job marked Time TBC has no time yet), pickup or dropoff address, passenger count, flight number for a job that starts at an airport, or hours for an hourly job. For each one, tell me exactly which details are missing, job by job. Where the enquiry has a linked email from the client, draft one short reply in that thread asking the client only for those missing details. Do not mention a price, do not confirm availability, and save drafts only.
  1. Read the list of missing details. If you can fill a detail yourself, for example from a phone call, fix the enquiry instead and tell Carson to skip it.
  2. For each draft, Carson shows a card. Select Approve to save it, or Reject to skip it.
  3. Open Email, go to Drafts, read each draft and select Send.
  4. When the client answers, add the details on the enquiry and quote it.

What you get

  • A list of new enquiries that are not ready to quote, with the missing details per job.
  • One short draft per enquiry in Drafts, in the client's own thread, with your default signature.

Tips and gotchas

  • Carson reads the same readiness checks as the enquiry page and adds what it finds on each job. If its list and the enquiry page disagree, trust the enquiry page.
  • Carson spots an airport pickup from the address text alone. If a pickup does not name the airport, check the flight number yourself.
  • On an enquiry with several hourly jobs, Carson cannot see the hours set on each job and may report them as missing. Check the enquiry before you send that draft.
  • Carson sees the 25 newest enquiries in status new. If there are more, it tells you the total.
  • An enquiry that came from your website form carries your own address as the sender. If no client email is on the enquiry or the client, Carson cannot draft the reply and says so; add the client's email first.
