Add a partner company

Goal

Add a partner to your directory so you can ask it to quote jobs, give it portal access and pay it later. You enter who the partner is, where it is based and how far it drives.

Prerequisites

• Your role can create partners.
• Your plan includes the partner network (Operations or Scale). On other plans the page shows Upgrade to add partners in place of the add button.
• You know the partner's company name and a contact email. The base address, service radius and largest vehicle are optional but are what lets 4fleet match jobs to the partner.

Steps

1. Open Partners and stay on the Directory tab.
2. Select Add partner. The Add New Partner window opens on the Basic tab.
3. Enter Partner Name and Email. Both are required, and Partner Type is required too.
4. Pick Partner Type. The list offers Travel Agent, Hotel & Concierge, Event Planner, Corporate Client, Airline, Wedding Planner, Chauffeur Company and Other. Chauffeur Company is the default. The type sets the starting values of the Fulfillment and Referral switches lower down: a chauffeur company can be dispatched jobs, the other types can refer clients. Change a switch if this partner does both.
5. Leave Status as it is unless you want to add the partner as something other than active. Add a Contact Person, Job Title and Phone if you have them.
6. In Location and fleet, start typing the Base address and choose the address from the suggestions. Then set Service radius (km) and Max passengers (largest vehicle).
7. Open the Company, Commission and Payout tabs only if you need them now: legal name and tax ID, referral commission terms, and payment terms for statements. You can fill them in later from the partner's page.
8. Select Add Partner. The message Partner created confirms it and the partner appears in the Directory.

Expected result

The partner is listed in the directory. A chauffeur company with a base address, radius and largest vehicle can be suggested when you ask partners to quote a job. Nothing is emailed to the partner by adding it.

Troubleshooting

• If you see Validation error with "Name, type, and email are required.", fill in those three fields on the Basic tab.
• If the radius does not seem to be used, check the line under the radius that asks you to pick the base address from the suggestions. The radius is saved as a service area only when the address was chosen from the list, not typed in full by hand.
• If you see Upgrade to add partners instead of the button, your plan does not include the partner network. Open Settings > Plan & billing > Subscription to compare plans.
• If Failed to create partner appears, read the reason in the message. A plan limit on the number of partners is enforced by the server and is reported there.
• If you chose a payout schedule of weekly, bi-weekly or monthly on the Payout tab, pick the payout day or the save is refused with a Validation error.
