Goal

Let a partner open its portal to answer quote requests, see its jobs and manage its documents. You can share one reusable link for the whole company, invite named people who each have their own role, or both.

Prerequisites

  • Your role can edit partners.
  • The partner exists in your directory and its status is active. Named people can only be invited to an active partner.
  • The partner has an email address. The invite is sent to the portal email, or to the main email if no portal email is set.

Steps

  1. Open Partners, find the partner in the Directory tab and open it.
  2. Select the Portal & settings tab. The Partner portal card shows whether the portal is Enabled or Disabled, the Portal email and the Token expiry.
  3. Select Enable portal. The Partner portal link window shows the link and copies it for you. The link is reusable: anyone who holds it can sign in as this partner until the date shown.
  4. Select Send invite email to email the link to the partner, or copy the Portal URL and send it yourself. If the email fails, the window says Invite email was not delivered and you send the copied link by hand.
  5. To give one person their own sign-in, go to the Partner portal people card. Enter the person's Email, choose a Role (Admin, Dispatcher or Finance) and select Invite person.
  6. If a window titled Partner account invitation opens, copy the Account invitation URL now and send it to that person. It is shown once. If you see Partner portal person invited instead, the person was emailed their access and there is no link to copy.
  7. To change who has access later, use Reissue on a person to send them a fresh invite, Revoke to remove one person, Revoke all links to kill every link already shared, or Disable to switch the portal off.

Expected result

The partner can open its portal from the link or from the invite email. People you invited by name appear in the list as Invited with Account pending, then Active with Account linked once they accept.

Troubleshooting

  • If the Email, Role and Invite person controls are greyed out, read the note above them. Enable the portal first, and reactivate the partner if it is not active.
  • If you select Enable portal again, the button reads Regenerate link. Regenerating, sending a new invite, revoking or disabling retires every link shared before, and signs the partner out of any open portal tab. Send the new link to everyone who needs it.
  • If a person was revoked but can still use the shared link, use Revoke all links. Revoking a named person does not retire the shared links.
  • If the partner says the link has expired, send a new invite. Links expire after 30 days.
  • If you see Could not enable portal or Could not send invite, read the reason in the message. Both need the partner network on your plan.
  • If Send invite email is greyed out, the partner has no email address. Add one on the partner's page first.
