Choose what the Assistant may do

Set each action category to Ask or Off, see where Auto is locked, and save the Assistant's action permissions.

  • All plans
  • 5 min
  • Checked

Goal

Decide, for each kind of action, whether the Assistant must ask you first, may not do it at all, or (on the Scale plan) may do it without asking.

Prerequisites

  • You can edit settings. Other roles can view the page but cannot save.
  • Every plan includes the Assistant and its actions. The Auto choice needs the Scale plan.

Steps

  1. Open Settings > Automations & AI > AI & logs.
  2. Select the Actions tab.
  3. Read the note at the top of Action Permissions. It explains the three choices: Ask proposes the action and waits for your approval, Auto runs it immediately, Off disables it.
  4. Find a category in the list, for example Bookings & assignments, Invoicing or Email sends. The line under its name shows which permission your role needs for that kind of action.
  5. Open the menu on the right of the category and choose Ask or Off. Choose Auto only if it is available to you.
  6. Repeat for every category you want to change.
  7. Select Save Settings at the top of the page.

Expected result

The message "AI settings saved successfully" appears. From then on the Assistant proposes actions in the categories set to Ask and no longer proposes any in categories set to Off.

Troubleshooting

  • If Auto is greyed out and each category shows Scale required, your plan always asks first. The line on the page says Auto needs the Scale plan.
  • If Delete tasks shows Approval required, that category cannot be set to Auto on any plan.
  • If a category shows Sends externally, its actions leave 4fleet, such as sending an email. Keep it on Ask unless you have a reason to change it.
  • If you changed a menu but nothing is saved after you leave the page, you did not select Save Settings. Changes are kept only after saving.
  • If you see "Failed to save AI settings", try again. If it keeps failing, ask an Owner or Admin, because your role may not allow editing settings.
  • If you cannot see the AI & logs tab, you do not have access to settings. Ask an Owner or Admin.
