Review and edit what the Assistant remembers

Goal

See the facts the Assistant keeps about your company between chats, correct or remove the wrong ones, add your own, and decide whether new facts wait for your approval.

Prerequisites

• Every plan includes the Assistant.
• You can view settings. Approving and editing a fact needs permission to edit settings, deleting a fact needs permission to delete in settings, and adding a fact needs permission to create in settings.

Steps

1. Open Assistant and select the Memory tab. The same page opens from Manage memory under Review new memories in Settings > Automations & AI > AI & logs.
2. Under Approval settings, decide on Require approval before use. When it is on, facts the Assistant picks up by itself wait for you before they are used.
3. If facts are waiting, go to Memory suggestions to review. Each one is marked "added by AI" and shows when it was observed and how confident the Assistant was.
4. Select Approve on a fact that is correct. Select the delete control and then Delete on one that is wrong or that you do not want kept.
5. Under What the assistant remembers, look through the active facts. Use Search memory or the category filter to find one.
6. To change a fact, select its edit control, change the text or the category, and select the save control.
7. To add your own, go to Add a fact. Choose a Category (Preference, Rule, Fact, Contact or Pricing), type the text in Fact, and select Add fact.

Expected result

A short message confirms each change, for example "Fact approved and active" or "Fact added". Approved and added facts are used in later chats. Deleted facts are removed permanently.

Troubleshooting

• If you see The assistant has not learned anything yet, there are no facts. Facts are added from conversations, or you can add one yourself.
• If Approve is greyed out and a note says no source was recorded, that suggestion cannot be approved. Delete it, or add the fact yourself.
• If the page says you have more active facts than the Assistant uses per conversation, delete the ones you no longer need. The Assistant uses only the most influential facts in each chat.
• If the page shows Could not load memory, try again. If it keeps failing, ask an Owner or Admin whether you have access to settings.
• If you cannot see Add fact or Approve, your role can view but not change settings.
• If you need a personal fact removed for data protection reasons, delete it here. The confirmation says deletion is permanent and cannot be undone.
• Prices, rates and settings are never stored as facts. The Assistant reads them live, so correct them where they are set.
