Review offers and choose a partner

Goal

Pick the partner whose offer you want for a booking, confirm the price and margin, and hand the jobs to that partner.

Prerequisites

• You have already asked partners to quote the booking.
• Your role can edit partners.
• To see your margin next to each offer, your plan must include margin before choosing (Operations or Scale) and your role needs reports access.

Steps

1. Open Partners and select the Dispatches tab. The page title there is Open partner quotes. Each row is one round, with the replies received, the best quote, the service time and the deadline.
2. Look at the State column. Quote received means an offer waits for you. Decision overdue means the deadline has passed and offers still wait. Awaiting replies means no one has answered yet. No offers means every partner declined.
3. Use the search box, the state filter and the source filter to narrow the list. Rows whose service time has already passed are not counted in the strip above.
4. Select Review offers on the row. The booking opens on its Partner quotes tab.
5. Read each offer card: the partner price, the vehicle and driver the partner named, and your margin when it is shown. The lowest offer is marked Lowest. Select View quote to see the price job by job.
6. Select Award to and the partner name on the offer you want.
7. In the Confirm partner award window, check each job's client price, partner price and margin. If a warning says Negative margin or Server confirmation required, confirm only if you accept the result. Then select Confirm award.

Expected result

The partner takes the jobs the round covers, the agreed price is set on those jobs, and the other invitations on the round close. The round moves out of the open list. Any own driver and vehicle already on those jobs are cleared.

Troubleshooting

• If the list says Open partner quotes could not be loaded, select Retry. An empty list is never assumed after a failed load.
• If a row says Source unavailable, the booking or enquiry behind it cannot be opened from here.
• If a partner replied by email, the offer shows a banner Replied by email - review prices. Confirm the prices on the banner before you choose that partner.
• If the offer's price is wrong after choosing, use Edit agreed price on the chosen partner and confirm the correction.
• If you chose the wrong partner, use Revoke award. The partner is notified and the jobs go back to unassigned.
• If there is no Award to button, your role cannot edit partners or the round is no longer open.
