Goal

Give a colleague access to your workspace with a role that fits their work.

Prerequisites

  • You are an Owner or Admin. Other roles can see the member list but cannot invite.
  • A mailbox is connected if you want 4fleet to send the invitation email (Send invitation email ticked).
  • Your plan has a free team seat. The number of seats depends on the plan.
  • You know which role the person needs. If not, read the role guide first.

Steps

  1. Open Settings > Team & access > Members.
  2. Select Invite User.
  3. Type the colleague's work address in Email Address.
  4. Choose a Role. The list starts on Dispatcher. Partner companies do not appear here: invite them from Partners instead.
  5. Leave Send invitation email ticked, so the person gets a link to accept.
  6. Select Send Invitation.
  7. To invite several people, select Bulk Invite instead. Paste up to 50 email addresses or upload a CSV file, choose one role for everyone, and select Send Invitations.
  8. To see who has not accepted yet, open Settings > Team & access > Invitations. Until a person accepts, they show under Invitations, not in the member list.

Expected result

A message says "Team member invited successfully". The person receives an email with a link to accept, and appears under Invitations until they do. The link expires after 7 days.

Troubleshooting

  • If you see "Connect a mailbox in Settings > Communications before sending invitations.", no mailbox is connected: connect one, or untick Send invitation email.
  • If you see "Your plan has no free team seats...", open Settings > Plan & billing to see your seats, or remove someone who has left.
  • If you see "Team member invited, but the invitation email could not be sent...", the person was still added and shows under Invitations. Check your mailbox in Settings > Communications.
  • If you see "Couldn't invite the team member. Try again.", the cause is something other than the two above; try again.
  • If the person says no email arrived, ask them to check their spam folder. The email comes from your connected mailbox.
  • If the person already has a 4fleet sign-in with that address, they are added to your company straight away and no email is needed.
  • If you see "You can send a maximum of 50 invitations at once", split the list into smaller groups.
  • If you do not see Invite User, your role cannot manage the team. Ask an Owner or Admin.
