Goal

Reach your own partner portal from the link an operator sent you, and make sure the contact details and availability they work from are correct.

Prerequisites

  • An operator has enabled portal access for your company and emailed either a guest link or an account invitation.
  • You can open the mailbox that link was sent to.
  • You know which person at your company should be the day-to-day contact.

Steps

  1. Open the email from the operator. A guest link opens the web portal directly. An account invitation asks you to create your own 4fleet password or sign in to an existing account with the same email.
  2. With an account, use the portal in a browser or install the single 4fleet Android app linked in the invitation. The app opens the Partner view and does not request driver location permission.
  3. If your account works with several operators, use the company and role switcher to choose the intended relationship. Access to one operator never grants access to another.
  4. Check that the header shows the expected company before you rely on anything you see. Everything in the portal is scoped to that relationship alone.
  5. Open Profile and confirm the contact person, portal email, phone, website, and address. These are the details the operator uses to reach you about work.
  6. Correct anything that is out of date and select Save profile.
  7. Set your availability. Enter the dates you are unavailable for new work. Jobs scheduled inside that window are not offered to you.
  8. Clear the availability window as soon as you are open for work again, or you keep being skipped.
  9. Open Jobs to see the work you have already won, each with a downloadable job sheet.
  10. Open Bookings, Payments, and Documents to see the operational, financial, and compliance side of the same relationship.
  11. Keep a guest link private. Treat it like a password and do not forward it outside your company. Account users should sign out on shared devices instead of sharing credentials.

Expected result

The portal opens on your own company, the profile shows current contact details, and any period you cannot work is recorded so no job is offered inside it.

Troubleshooting

  • The link is reported as invalid, expired, or no longer available: access links do not last forever. Reply to the email that carried it and ask the operator for a fresh link.
  • A message says the link is missing its access token: the address was typed or truncated. Open the link directly from the email instead of retyping it.
  • The portal says it is unavailable right now: wait and try again. If it continues, reply to the email that contained the link.
  • A tab is empty when you expected content: select Refresh. A failed request can look the same as having nothing to show.
  • Saving the profile fails: check that the availability end date is on or after the start date, then save again.
  • Someone else at your company needs access: ask the operator to send the link to that person. Do not share your own.
