Goal
Answer one job request with a price you can honour on every leg, and know what happens after the operator awards it.
Prerequisites
- You received a job request or quote request link by email from the operator.
- You know whether you have a vehicle and a driver free for those dates and times.
- You know the rate your company will accept for that route and vehicle.
Steps
- Open the request link from the email. It is unique to you and it expires, so do not forward it.
- Read the note from the operator if there is one. It usually carries the expectation that does not fit in the route, such as waiting time or duration.
- Read every leg: pickup, stops, drop-off, date and time, passengers, luggage, flight number, and any special request.
- Check whether the page says the job is not confirmed yet. A quote request means the customer has not booked. Your price may be used in the operator's quote and awarded to you later.
- Enter your price for each leg in the currency shown. The total updates as you go. Every leg needs a price before the request can be sent.
- Add the driver name, phone, and vehicle if you already know who is covering it. Leave them blank if not; you can supply them later.
- Select Accept and send price. To turn the job down, choose the reason that fits, such as fully booked, no vehicle, or out of area, and then select Decline.
- Wait for the operator's decision. Once your offer is awarded, reopen the same link to see the confirmed job sheet with the passenger contact details, and download it for the driver.
- On the day, move the job through its steps in order: on my way, arrived at pickup, passenger on board, then complete trip. Use no-show only when the passenger did not travel.
- If you can no longer cover a job you accepted, use the withdraw action on the same page, choose a reason such as vehicle breakdown, driver unavailable, or double booked, and add a note. The operator is notified immediately and this cannot be undone.
Expected result
The operator has your priced offer or your decline with a reason, and if you win the work, the same link shows the awarded job sheet you run the trip from.
Troubleshooting
- The request page says it is unavailable: it was already answered, awarded elsewhere, or it expired. Reply to the email that carried it if you still want the work.
- The accept button stays disabled: at least one leg has no price. Every leg on the request needs a figure before it can be sent.
- You sent the wrong price: the sent offer cannot be edited from the page. Reply to the operator's email straight away with the correction.
- Passenger details are missing: they only appear once the job is confirmed to you. Until then you see the route and timing.
- A status update fails: refresh the page and try once more. If it keeps failing, tell the operator, since they can set the status from their side.
- You lost the link: ask the operator to resend it. The same request cannot be opened from a different address.
