Goal

See every job, driver and vehicle commitment for a day, week or month on one screen, and spot jobs without a driver and driver or vehicle clashes before the day starts.

Prerequisites

  • Your role can view bookings.
  • Bookings exist for the period you open. Time-off, maintenance and tasks only show if they were added.
  • Flight status is shown for bookings that carry a flight number. A delayed flight does not move the pickup time. A person moves it, on the booking.

Steps

  1. Open Calendar in the sidebar.
  2. Choose Day, Week or Month in the view switcher. Dispatch in the same switcher is the driver-by-driver board, which has its own article.
  3. Move through time with the previous and next period buttons, Today, and the date button that opens a date picker.
  4. Read the tiles above the grid: Jobs in view, Unassigned, Conflicts, Tracked flights, Expiring documents and Due in range. Conflicts counts driver or vehicle double-bookings in the range.
  5. Select Filters to narrow the grid. Switch event types on or off with the chips All events, Bookings, Flights, Tasks, Maintenance, Time-off, Invoices due and Compliance. Then limit it with All drivers, All vehicles and All statuses. Clear resets them.
  6. Select any event to see its details, such as the driver, the vehicle, the flight status and the status. Select View booking to open the booking and fix what is wrong.
  7. In the Month view, select a day, or a "+ more" link, to open that day's list. It groups what Needs attention, then bookings, fleet and compliance, finance and tasks.
  8. Optional: select Add Task to put a task on the calendar, or Add Time-off to block a driver or team member.

Expected result

You know how many jobs the period holds, which ones have no driver, and which driver or vehicle is double-booked. Each problem links back to its booking.

Troubleshooting

  • If a banner says some overlays are unavailable, the rest of the calendar is still up to date. The banner names the overlays that are missing. Reload later to get them back.
  • If you see "Unable to load calendar data", use the retry option on the message, or reload the page.
  • If events are missing, check the event-type chips and the driver, vehicle and status filters. A filter can hide the event you are looking for.
  • If a message says the driver and vehicle options could not be loaded, the driver and vehicle filters may be incomplete.
  • If you drag a booking to a new time, the calendar asks Reschedule Event? and checks conflicts before Move Event. This needs the right to edit bookings. Bookings with several jobs cannot be dragged, so reschedule them from the booking.
  • If the client needs to hear about a moved booking, the move does not email them. Use Notify customer on the booking.
