Goal

Cover a booking with one of your own drivers and vehicles, and see straight away whether that driver or vehicle is free at that time.

Prerequisites

  • Your role can edit bookings.
  • The driver and the vehicle exist in your fleet and are active. For the driver to be alerted, the driver profile must be linked to a login.
  • The booking is not covered by a partner. If a partner is chosen for a job, remove that award first.

Steps

  1. Open the booking from Bookings and select the Resources tab.
  2. Open Entire booking and find the Assignment & Scheduling card.
  3. In Driver, pick the driver. The label shows how many drivers are free, for example "(3/5 available)". The choice saves as soon as you pick it, and an Assignment Updated message confirms it.
  4. In Vehicle, pick the vehicle. The list shows the seats of each vehicle.
  5. Read any warning under the lists, such as Selected driver has a conflict, Selected vehicle has a conflict or Conflict Detected. If you see one, pick someone else or open the Calendar to see what the driver or vehicle is already doing.
  6. For a booking with several jobs that need different drivers or vehicles, select Assign per job in the same card. The button shows while all jobs still share one crew. You land on the Itinerary tab, where each job has its own Vehicle and Driver. Pick them job by job. A booking whose jobs already have different crews opens in this per-job view by itself.
  7. If a job reports a conflict and asks Conflict detected. Force-assign anyway?, select Force assign only when you mean to double-book. Only owners and admins can override a conflict.
  8. Check the result in the Capacity and requirements by job panel on the Resources tab, which shows whether the vehicle fits the passengers and bags.

Expected result

The booking and each job show the driver and vehicle you chose. The driver gets an in-app notification, and a push alert if the driver allows them, in the driver's own language. The driver then has to acknowledge the job. An assignment that nobody has acknowledged stays marked as waiting.

Troubleshooting

  • If the driver and vehicle lists are locked, with a message that they could not be loaded, reload the page. A failed load does not mean your fleet is empty.
  • If both lists are greyed out, your role cannot edit bookings, or the job list failed to load. Reload before you reassign.
  • If the vehicle is too small for the passengers and bags, the save is refused and asks for a reason. An owner can keep the vehicle by giving one.
  • If the driver says they got no alert, check that the driver profile is linked to a user login. A profile without a login cannot receive in-app alerts.
  • If a message says there is no passenger phone, add the phone on the booking so the driver can reach the passenger at pickup.
  • If a partner is still shown after you assign your own driver, remove the partner award from the Partner quotes tab first.
