Dispatch jobs from the Dispatch board

Open the Dispatch board for a day, see which jobs need a driver or clash, and assign drivers by dragging or tapping.

Goal

Cover one day's jobs from a single board: see which jobs have no driver, which overlap, and give each job a driver without opening the booking.

Prerequisites

  • Your role can edit bookings. Without that right the board opens read-only.
  • Your drivers exist and are active. The board shows one lane per driver.
  • For driver positions on the live map, turn on live driver tracking first. It is off until you do. Go to Settings > Security & data > Privacy & export and switch on Live driver tracking.

Steps

  1. Open Calendar and select Dispatch in the view switcher. You can also open Bookings and select Dispatch there. Both show the same board.
  2. Pick the day with Choose dispatch day, or use Previous day, Today and Next day.
  3. Read the summary line, for example how many jobs the day has, how many are assigned, and the assignment issues. A box named "operational checks" lists the jobs that need cover and the jobs that overlap another job on the same driver. Select Review conflicts to jump to the first clash.
  4. Find the Unassigned lane at the top and the driver lanes below it. Each job is a block placed by time, and its length includes the empty travel to the pickup and back to base when those times are known. A lane named "Partner" holds jobs a partner covers.
  5. To assign a driver with a mouse, drag the job's block onto the driver's lane. Drop it on Unassigned to remove the driver.
  6. On a phone or tablet, tap the job instead. The Assign driver sheet lists your drivers. Pick one, or select View booking details to open the booking.
  7. If the board shows Scheduling conflict and asks whether to assign anyway, the driver already has a job at that time. Owners and admins can select Assign anyway. Other roles see an error and must choose another driver.
  8. Click a job to open its booking and set the vehicle, because the board only assigns the driver.

Expected result

A Driver assigned message confirms each move. The job sits in the driver's lane, the driver is notified, and the summary counts fall as jobs get cover.

Troubleshooting

  • If you cannot drag jobs, or tapping a job only opens it, your role cannot edit bookings and the board is read-only.
  • If you drop a job on a partner lane, a message says a partner covers it. Manage partner cover from the booking.
  • If the day is empty, you see "No jobs scheduled" for that date. Pick another day.
  • If a note says the dispatch checks could not be loaded, the conflicts you see are the screen's own estimate. Reload to get the full checks.
  • If the live map says live driver tracking is off, no positions are shown. Turn it on in Settings > Security & data > Privacy & export. The link in the message points to the older Company settings path and still lands on the same switch.
  • If a driver shows no live location, the driver has not shared GPS yet. Partner-covered jobs never show a live position.
