Create a Google app password for Gmail or Workspace

Why 4fleet needs this

4fleet reads enquiries from your mailbox and sends quotes and confirmations from it. When you type a Gmail address, or a business address whose mail is hosted by Google, 4fleet fills in Google's servers and asks only for a password. Google refuses the normal account password there, so 4fleet needs an app password created for it.

Steps

  1. Sign in to the Google Account that owns the mailbox and open Security & sign-in.
  2. Under "How you sign in to Google", select Turn on 2-Step Verification and follow the on-screen steps. Skip this step if 2-Step Verification is already on.
  3. Open the app passwords page at myaccount.google.com/apppasswords. Google may ask you to sign in again.
  4. Follow the on-screen steps to create an app password. If Google asks for a name, any name works, for example 4fleet.
  5. Copy the password Google shows. You enter it once, in 4fleet.

If the mailbox is on Google Workspace, an administrator may need to do two things in the Google Admin console first:

  1. Go to Menu, Apps, Google Workspace, Gmail, End User Access. Under POP and IMAP access, check Enable IMAP access for all users, select Allow any mail client, and click Save. Google says changes can take up to 24 hours.
  2. Go to Menu, Security, Authentication, 2-step verification. Check Allow users to turn on 2-Step Verification and click Save. This needs a super administrator.

Finish in 4fleet

  1. Open Settings > Communications > Email accounts and select Add email account.
  2. Enter the address in Your work email address and select Continue.
  3. Paste the app password into Paste your app password here (not your normal password) and select Connect.

If the password you copied has spaces between groups of characters, paste it as it is. 4fleet removes the spaces for Google mailboxes.

Frequently asked questions

I cannot find the app passwords option in my Google Account

Google lists three reasons: 2-Step Verification is set up only for security keys, the account belongs to a work, school or other organization, or the account has Advanced Protection. On a Workspace account, ask your administrator. Google notes that enforcing security keys disables app passwords. 4fleet has no other way to sign in to a Google mailbox, so without an app password the mailbox cannot be connected.

4fleet says the password was refused

You most likely pasted your normal Google password. Create a new app password and paste that one. On Workspace, also check with your administrator that IMAP is on and set to Allow any mail client, because the setting that allows only OAuth mail clients blocks the app password.

I changed my Google password and email stopped arriving in 4fleet

Google revokes all app passwords when you change the account password. Create a new app password, then use **Edit** on the mailbox row in **Settings > Communications > Email accounts** to enter it.

Can I see an app password again later?

No. Google says you can generate a new app password at any time, so create a new one if you lose it. You can also remove an old one from the app passwords page.
