Check what the AI read from an email
What the email parser fills in, what it flags for you, and the checks to make before you price an enquiry that came from an email.
The parser flags doubt instead of guessing
The AI reads the email, and then a set of checks runs on what it read. They are built to mark a doubtful value for you rather than quietly fix it. A date written without a year that would fall in the past is moved forward and flagged. A date that cannot be right, such as a return before the outbound job, holds the pickup time as to be confirmed. An enquiry with a warning like these lands in the Missing info queue.
So the habit is simple: an enquiry that came from an email is a draft until a person has read it against the email. Open the Required details card on the enquiry first. It lists what is still missing, one line per problem, for example A job's pickup time is still to be confirmed. or A job at an airport has no flight number.
Returns and shuttles the parser adds
If the email mentions a return but only one job was read, 4fleet adds the return as its own job. It reverses the route, leaves the date empty and notes "Return added from the email: confirm date and time". Confirm the date and time with the client, or delete the job if the client wanted one way only.
When an email asks for a shuttle without saying how many times the car should go, two jobs are added, one each way. Change them to what the client actually needs before you quote.
Open the Itinerary tab on every email enquiry that has more than one job. It takes a minute and catches the most expensive mistake in quoting: pricing one way when the client expects a return, or the other way round.
Who the request belongs to
When 4fleet cannot tell which client account an email belongs to, for example a shared address or a website form, the conversation shows a Review client identity card instead of creating the enquiry straight away. Choose the account and contact and select Confirm account and contact. Until someone does, the request has no enquiry, so check the Inbox for these cards if a request seems to have gone missing.
Questions and changes in later emails
The Customer Questions card on the enquiry lists the questions the client asked, such as "is a child seat included?". Answer them in your reply or in the quote. When you send a quote with questions still open, 4fleet asks whether to Send anyway or Go back.
When the client writes again with new details, the Changes detected from client card shows each change as the old value and the new one. Select Apply to take it or Dismiss to leave the enquiry as it is. If Auto-apply detected changes from client replies is on, high-confidence changes to passengers, locations and flight are applied for you. A change of date or time is never applied by itself; a person always decides.
Step by step in the Help Center
- Turn an email into an enquiry
Read a client email with Parse with AI, check the detected booking details and open the enquiry that 4fleet creates from it.
- Complete the required details before quoting
Find which details an enquiry still lacks, such as pickup time, passengers or flight number, and fill them in on the job.
- Fill an enquiry from a pasted email
Paste a client's email into the new enquiry window, let 4fleet fill in the form, then check each field and save.
- Set up automatic enquiries from email
Choose whether 4fleet reads new client emails with AI and creates enquiries by itself, and set the related inbox switches.
