Negotiated rates for account clients

Record what you agreed with an account client so every new quote and invoice follows it, and know what the agreement does not change.

Your price list is not every client's price

Corporate clients and agencies usually pay less than your standard rates, on longer payment terms, sometimes once a month. If those terms live only in your head or in an old email, the office will quote the standard price and someone has to correct it later. Put the terms on the client once and let every new quote use them.

What the agreement records

Open the client in Clients, go to Commercial terms and set up the Commercial agreement. It holds:

  • the discount, as Percent or Fixed amount under Discount type;
  • Payment terms and the Billing mode: Per booking, or Consolidated monthly on the plans that include it;
  • the Payment channel, a deposit, a credit limit and a tax treatment.

Each save creates a new version, so you can see what was agreed when. A credit limit only warns; it never blocks a booking. When a client also has billing fields on their profile, the agreement wins.

How the discount reaches a quote

When a new quote is calculated for that client, the agreed discount is applied automatically and shown as its own line. If you set a discount by hand on that quote, yours is used instead. Quotes already sent keep the price they were sent with.

A price you ask Carson for in the Assistant does not include the client's discount. When you quote a known account client on the phone, tell them their agreed discount will apply, or generate the quote on their enquiry.

What the agreement does not do

The agreement does not hold a separate price list for the client. Do not choose a rate card under Discount type yet: it applies a percent discount but does not set that client's rates per vehicle class. If an account client pays different rates per vehicle class, express it as a discount for now and record the details in the agreement notes.
