Lesson 7 of 7 · 5 min
Test every pricing change before clients see it
Three ways to check a price before it goes out, how long a sent quote stays valid, and a short routine to follow after every rate change.
A quick check on the Rate cards tab
Settings > Services & pricing > Rate cards has a Quote Preview card below the rates. Pick a vehicle, a Trip Type, a pickup and a dropoff, a date and time and the passengers, then select Calculate Price. It uses the same rate order and the same zones as real quotes and creates nothing.
The preview prices a distance job or an hourly job. It is the fastest way to see what a rate change does to a route you know.
A full check on a test enquiry
The preview does not know about a client or the details of a real enquiry. To see everything a client would see, including extras, a client's agreed discount, several jobs and date rules, create a test enquiry with your own email address and select Generate Quote. Read the Quote Breakdown as you did in the first course.
A price on the phone
When a client calls and asks what a job costs, ask Carson in the Assistant, for example "how much is a saloon from the airport to the city center tomorrow at 9?". Carson prices it with your own engine without creating an enquiry or a quote, and tells you when it cannot price it. It does not include negotiated client discounts.
How long a quote stays valid
The number of days a sent quote stays open is set in Settings > Documents & client experience > Display rules, under Quote validity, as a whole number of days from 1 to 365. It applies to quotes you send from then on. When you send a quote, Valid for lets you give that one quote a different number of days. A quote that has already been sent keeps its own expiry date; use Extend validity on the enquiry when a client needs longer.
A routine for every rate change
Before you save a change, write down today's price for the jobs you sell most: a short transfer, an airport pickup and an hourly booking. Make the change, price the same three again in the preview or on a test enquiry, and compare. If a price moved that you did not mean to move, find out why before a client sees it.
Step by step in the Help Center
- Generate a quote from your rates
Price an enquiry from your own rates, read the breakdown and warnings, and recalculate after a change.
- Check and send a quote to the client
Review a draft quote, read the pre-send warnings and email it to the client with a PDF and an accept link.
- Check which rate prices each service and class
Read the pricing coverage table to see which rate prices each service and vehicle class, and find the ones that cannot be quoted.
