Goal
Create the first services, a starting rate for one vehicle class, and one real vehicle, so the quote engine has something to price.
Prerequisites
- You are an owner or administrator and the setup wizard is open on the Service and vehicle step.
- You know the make, model and registration of one real vehicle, unless your workspace already has a vehicle.
- You have decided the least you charge for one job and your hourly rate.
Steps
- Under Services you offer, select every service you sell: Airport Transfers, Corporate Travel, Hourly Chauffeur or Events. Selected services show a tick. You can add or change services later.
- Under Vehicle class, choose the class that fits your first vehicle.
- In Minimum fare per trip, enter the least you charge for one job. It must be greater than zero.
- In Hourly rate, enter what you charge per hour for hourly and as-directed jobs. It must also be greater than zero.
- If the page shows Fleet already connected, your workspace already has a vehicle and nothing more is needed here. Otherwise, under Your first real vehicle, enter Make, Model and Registration.
- Under Do you drive as well?, choose I also drive to create a driver profile for yourself, or I manage operations only. You can invite drivers later either way.
- Under Business hours, choose 24/7, or choose Set opening hours and fill in Opens and Closes.
- Under Charge for empty driving, tick From your base to the pickup and From the drop-off back to your base if your prices should include that empty travel. Both are off by default, which means a price covers only the job itself.
- Select Save and continue.
Expected result
A message reading Service and fleet saved appears and the wizard moves to Business email. Your services exist, the chosen vehicle class has a rate card with your minimum fare and hourly rate, and the vehicle is in your fleet. With I also drive, your own driver profile exists, and saving again updates that profile instead of adding a second one.
The wizard does not set a distance rate. A new rate card starts with a rate per kilometer or mile of zero, so set it before you rely on quotes for longer distances. The article on class rate cards shows where.
Troubleshooting
- If the page says Choose a service, select at least one service.
- If the page says Base rate must be greater than zero or Hourly rate must be greater than zero, enter a positive amount in the field you filled. Zero and empty prices are not accepted.
- If the page says Complete the real vehicle details, fill in Make, Model and Registration. Each one is required when the workspace has no vehicle.
- If the page says the server is still updating, wait a moment and save again. No pricing data was changed.
- If the vehicle class already had a rate card, the wizard leaves that card as it is. Change existing rates in the class rate card screen.
- If your vehicle seats more than three passengers, open the vehicle in the fleet list and correct its capacity, because the wizard does not ask for it.
