Goal

Give each vehicle class a rate card, so quotes for that class can be priced from your own numbers.

Prerequisites

  • You are an owner or administrator. Managers can view pricing but not change it, and dispatchers have no access to it.
  • The vehicle class already exists. If not, create it first.
  • You know your base fee, hourly rate, rate per distance unit and minimum charge for the class. Amounts are entered in your company currency.

Steps

  1. Open Settings > Services & pricing > Service setup and find the Vehicle Classes card.
  2. In the row of the class, select Rates. A panel titled Base rates for the class name opens under the row. If the class has no card yet, it also shows No rates set.
  3. Enter the Base rate. It is a fixed fee added to every job in this class.
  4. Enter the Hourly rate, used for hourly and as-directed jobs.
  5. Enter the distance rate. The field is labeled Per km or Per mile, depending on your workspace's distance unit.
  6. Enter the Minimum charge, the lowest total a job in this class is quoted at.
  7. Select Save rates. The button stays disabled until all four fields have a value.
  8. Repeat for every active class. To close a panel without saving, select Close, or the cancel button next to Save rates.
  9. Check one class by creating a test enquiry for it, generating a quote and reading the price breakdown.

Expected result

A message reading Rates saved for the class name appears. The panel closes, and the class no longer shows No rates set. The panel states that this rate card prices every quote for the class, and that a vehicle's own rates are used only when its class has no rate card.

Troubleshooting

  • If Save rates is greyed out, one of the four fields is empty. Enter a value in each, using 0 where a charge does not apply.
  • If the page says Failed to save rates. Try again., check that every value is a number and try again.
  • If the page says Failed to load rates. Try closing and reopening this panel., close the panel and select Rates again.
  • If a quote for the class comes out at the minimum charge or at a very low amount, the distance rate is probably 0. The setup wizard stores a distance rate of 0, so enter your real Per km or Per mile rate.
  • If a class still cannot be quoted after you save, check that at least one of the four values is above 0, because a card of all zeros counts as no rate. Then open the pricing coverage screen to see which rate each service and class is using.
  • If the same class has a rate card in two places, they are the same card. Changing it in either place changes it in both.
