Goal
Turn the quote a transport company sent you into a confirmed booking, and pay the deposit when the quote asks for one.
Prerequisites
- You have the quote email from the transport company and can open its link.
- You know who is traveling, and you have the lead passenger's name and a mobile number to hand.
- If the quote asks for a deposit or full payment, you have a card you can pay with online.
Steps
- Open the quote from the link in the email. Open it from the email itself, because the link is what identifies your quote.
- Check how long the quote is valid. The top of the page shows the date it runs out and how many days are left.
- Read every journey on the quote: date, time, pickup, dropoff, passengers and vehicle. Check the Total, any deposit schedule and the cancellation terms below it.
- If the page says Choose your quote, compare the options and select the one you want.
- Enter Your name and Your email. If the page asks for them, add the Lead passenger first name and Lead passenger last name: the person traveling, who may not be you.
- Open Add passenger details and fill in what the company still needs, such as a Mobile number for the driver, a Flight number, the luggage and any special request.
- Tick the box that you accept the terms and conditions and want to book at the quoted price.
- Select the accept button. It reads Accept quote and book now, or Accept and pay {amount} deposit when a deposit is due. If it stays disabled, the line under it lists what is still missing.
- Keep the Confirmation code shown on the Booking confirmed! page.
- If the page asks for a payment, select Pay deposit now or Pay now (or the pay button with the amount), and complete the card payment on the secure checkout page. Payment goes to the transport company.
- If you have portal access, you can also accept from Quotes in your portal. Accepting there confirms the itinerary only; payment instructions follow separately.
Expected result
The page confirms your booking with a confirmation code, and the transport company receives your passenger details. When you paid, a receipt arrives by email.
Troubleshooting
- If the page says "This quote has expired", the price is no longer held. Use the contact details on the page to ask the company for a fresh quote.
- If the page says "This quote has been replaced", a newer version was sent. Open the link in the most recent email about this quote.
- If the page says "The itinerary changed", select Request updated quote and the company will send you a new price. A quote with several options says "This quote is being updated" instead, and the company sends a new version.
- If something on the quote is wrong, select Request a change instead of accepting a journey you will need changed.
- If you do not want to go ahead, select Decline quote, add a reason if you like, and confirm with Decline quote. No booking is created.
- If the page says "We could not confirm whether your acceptance went through.", reload the page to see where it stands before you accept again.
- If you see Payment not completed, no charge was made. Reopen the payment link from your email to finish.
- If the page says "Please wait a moment", the link was opened many times in a short period. Wait a minute and try again.
