Goal

Correct or update one job of a booking, for example a new pickup time, a changed address, an extra stop or a different flight number, and keep the fare and the client informed.

Prerequisites

  • Your role can edit bookings. Adding a stop also needs the create right, and removing a stop needs the delete right.
  • You know what changed. Pickup times use your company's time zone.
  • A flight number you enter is used to show the flight's status. It never moves the pickup time. You change the time yourself.

Steps

  1. Open the booking from Bookings, select the Itinerary tab, and find the job in the Jobs list.
  2. Select Edit job on that job. Edit Job opens with its number.
  3. Change Date & time, Pickup or Dropoff as needed. These three are required.
  4. Under Intermediate stops, type the address in the field that reads "Add a stop along the way", add the minutes the stop takes if you know them, and select the Add stop button. To remove a stop, select Remove stop and confirm.
  5. Update Passengers, Service (or Inherit booking service), Flight and Bags, and the Lead passenger names and phone if they changed.
  6. If the route changed, select Recalculate route & price. The distance, duration and Fare in the form update from the new route. Nothing is saved yet, so review the fare and type over it if you agreed a different one.
  7. Check Status, Vehicle and Driver, then select Save changes. A Job updated message confirms the save.
  8. Tell the client. Open the Communications tab and select Notify customer under Booking Change Notice.

Expected result

The job shows the new details in the Jobs list and on the Calendar. The booking total follows the job's fare, and the change is recorded on the booking timeline.

Troubleshooting

  • If the dialog says the assigned driver or vehicle has a scheduling conflict at the new time, change the time or the assignment. Owners and admins can select Save anyway to override the conflict.
  • If you do not see Edit job, your role cannot edit bookings.
  • If Recalculate route & price fails, check that the pickup and dropoff addresses are complete, then try again.
  • If the new price does not match what you agreed with the client, type the agreed amount in Fare. The recalculated value is only a suggestion until you save.
  • If the client was not told about the change, saving did not email them. Use Notify customer as in the last step.
  • If the booking already has an invoice, open the Commercial tab after a fare change and check that the invoice shows the amount you expect.
