Goal
Read, in one place, how much you owe partners and where each amount stands. This screen is for reading. You approve and pay partner invoices elsewhere, and the last step below shows where.
Prerequisites
- Your role can view payments and reports. Owners, admins, managers and ops managers can by default.
- You have chosen a partner for at least one job. Jobs appear here once you choose a partner's quote or dispatch to a partner.
Steps
- Open Accounting and select Payouts.
- Open the Partners tab.
- Read Partner payables by state. Each currency has its own row, and currencies are never added together. The columns are Upcoming, Awaiting approval, Ready to pay, Due, On hold and Disputed, each with an amount and a count.
- Read the note under the table. Due is completed jobs awaiting approval or ready to pay. Upcoming, On hold and Disputed are not in the total due.
- If a banner reports jobs without a complete partner cost, select Review missing cost. The list below narrows to those jobs.
- In the Partner payables list, use the filters All, Committed, Accrued, Invoiced, Paid, Canceled and Missing cost to narrow the rows. Each row shows the booking, partner, client price, partner cost, margin and stage.
- Select a booking reference or partner name to open it.
- To act on the money, select Manage payouts. It opens the partner's finance area, where statements and invoices are approved and paid.
Expected result
You can say how much is owed to partners per currency, how much of it is ready to pay, and which jobs are held back by a missing cost. The figures are read only. Nothing on this tab approves, holds or pays a payable.
Troubleshooting
- If the list is empty, no job has a partner yet. Choose a partner's quote or dispatch a job to one.
- If a job shows "partner cost not recorded", its cost is missing and is left out of every total. Record the cost, then check the figures again.
- If a message says payout figures are temporarily unavailable, reload the page. 4fleet does not show a zero when it cannot read the data.
- If you want to approve, hold, release or reject, note that those buttons are on the Commissions tab and work on commission payables only.
- If you see "You do not have permission to view payouts.", your role cannot view payments.
- If amounts for partners and drivers look mixed up, check the tab. Driver pay is on the Drivers tab and is covered by driver settlements.
