Give one vehicle its own rates

Open a vehicle's pricing panel, set its own distance and hourly rates, and check whether quotes use them or the class rate card.

Goal

Set rates for a single vehicle that differ from its class, and confirm in the vehicle's row whether quotes will use them.

Prerequisites

  • You are an owner or administrator. Without that access the edit buttons on this screen are hidden.
  • The vehicle exists and has a vehicle class.
  • You have read the article on class rate cards. A class rate card is the normal way to price, and a vehicle's own rates are the exception.

Steps

  1. Open Settings > Services & pricing > Rate cards.
  2. Find the card Vehicle Pricing. It reads, for example, "2 of 5 vehicles have pricing configured", and lists one row per vehicle with its class under the name.
  3. Read the badge on the vehicle's row. Configured means the vehicle has its own rates. Not Configured means it has none. Class rates apply means the vehicle has its own rates, but its class has a rate card, which quotes use first.
  4. Select the edit button, the pencil icon at the right end of the row. A panel opens with the vehicle's make, model and registration, and a line that states the price order.
  5. On the Distance tab, enter the rate per kilometer or mile. It is required. Optionally enter a Base Rate (optional) and a Minimum Charge (optional).
  6. On the Hourly tab, enter the Hourly Rate. Optionally enter the Daily Rate (Full Day Tour) and the Waiting Time Rate (per hour).
  7. Select Save Pricing. A message reading Pricing saved appears and the panel closes.
  8. Optional: on the Services tab, enter a rate for individual services and select Save Services. Leave a service blank to fall back to the vehicle's own rates.
  9. Reopen the row and read the badge again, then generate a quote for a test enquiry that uses this vehicle to confirm which rates were applied.

Expected result

The vehicle's row shows Configured, or Class rates apply when the class rate card takes priority. A test quote shows a price breakdown from the rate source the row described.

Troubleshooting

  • If the panel reports that a rate per kilometer or mile is required, enter a number above 0 on the Distance tab. Without it, nothing is saved.
  • If the row says Class rates apply, the vehicle's own rates are stored but quotes use the class rate card first. To change the price quotes give for this class, edit the class rate card.
  • If the Services tab shows Per-vehicle service pricing is off, those rates are saved but no quote or booking uses them. Switch on Use per-vehicle service rates in Settings > Services & pricing > Service setup.
  • If a service in the Services tab says to set a billing unit in Settings, the service has no billing unit yet and its rate cannot be applied. Set one on the service first.
  • If the panel closes with Pricing saved but the row does not change, reload the page. Then check the vehicle again.
  • If a quote still uses a different price, open the pricing coverage screen. It shows the rate source for each service and class.
