Lesson 8 of 8 · 6 min

When the answer is no, or nothing at all

Record why an enquiry was lost, decline politely when you are full, bring back a lapsed quote, and keep your conversion numbers honest.

Record why you lost it

An enquiry left open after the client went elsewhere keeps showing up in your queues and in the value of open enquiries. Close it. On the enquiry, open More actions and choose Mark as Lost. The window asks for a Reason for loss: Price Too High, Booked Competitor, No Response, Changed Plans, Timing Issue, Service Unavailable, Quality Concerns or Other.

Pick the real reason, not the most polite one. The enquiry analytics under Analytics show the Top Lost Reasons, and they keep losses you could have won apart from enquiries that were never a contest, such as dates you had no availability for. A string of Price Too High on one route is a pricing question; a run of No Response is a speed or follow-up question.

Say no when you are full

When you cannot take the work, tell the client quickly so they can book elsewhere and remember that you answered. Open More actions and choose Decline: no availability. A window shows the decline email; read it, edit it if you want, and select Send decline email. The enquiry is marked lost with the reason fully booked. It only works when the client has an email address on file.

A quote that ran out

A quote past its validity shows as Expired, the client's page tells them it has expired, and Create booking is no longer available for it. If the client comes back and the price still stands, select Revive quote on the quote in Quote History rather than building a new one. Before the date has passed, the same button reads Extend validity. If rates or the route have changed, generate a new quote instead.

A lost enquiry is not gone. If the client returns to the same request, select Reopen on it and carry on from where you were.

Silence

Most quotes that never get an answer are lost to timing, not to price. Automatic follow-ups with Auto-mark no response as lost close the silent ones for you. If you do not use them, go through Quoted enquiries whose travel date has passed once a week and mark them lost yourself, so your conversion numbers reflect what really happened.
