Invoicing and getting paid

Set up invoices once, issue and send them, take card payments and deposits, bill account clients monthly, match the bank and pay drivers.

For: owners and the person who does the accounts

Most chasing starts with an invoice that was wrong, late or never delivered. This course shows how to set up 4fleet so the invoice is right the first time, how issuing and sending work, and how to correct an invoice without breaking the paper trail.

It then covers the money itself: card payments and deposits, monthly billing for account clients, automatic invoices and reminders, matching bank lines to invoices, and the money going out to drivers and partners, including the export you hand to your accountant. Tax content describes what the settings do. Confirm your rates and treatment with your accountant.

  1. Invoice settings that save you work later6 min

What to set before your first invoice: issuer details, tax system, numbering, default payment terms and how payment details appear.

  2. Create, issue and send an invoice7 min

Start from the booking, check the draft, then issue and send it. What issuing fixes, what one button does for you, and how to give more time.

  3. Card payments, payment links and deposits6 min

Connect your own Stripe account, turn on online invoice payments, decide who pays by card and set a deposit you have chosen on purpose.

  4. Record payments, credit notes and reissues6 min

Record money once, and pick the right fix for a wrong invoice: edit the draft, credit it, reissue it or void it. A decision path for each case.

  5. Monthly billing for account clients7 min

Put an account client on one invoice a month: how the monthly run picks bookings, why per-booking invoices skip them, and what to check after each run.

  6. Automatic invoices and payment reminders5 min

Let 4fleet create invoices at confirmation, before pickup or at completion, and email reminders for unpaid ones. Both are off until you turn them on.

  7. Match bank payments to invoices6 min

Import a bank statement, review each suggested match and approve it. Nothing is booked until a person approves, and a match can be reversed.

  8. Money out: driver pay, partner bills and the export7 min

Settle what drivers earned, see and pay what you owe partners, and hand your accountant one export of invoices, credit notes and payments.
