Card payments, payment links and deposits

Connect your own Stripe account, turn on online invoice payments, decide who pays by card and set a deposit you have chosen on purpose.

Two steps before a client can pay by card

Card payments go into your own Stripe account, so the first step is connecting it. Only the owner can start this, from the Payment Processing card in Settings > Integrations > Connected services with Connect Stripe Account. Stripe asks its own business and bank questions; have them ready.

Connecting Stripe does not yet put a link on your invoices. The second step is switching on Online invoice payments in Settings > Setup & status > Feature readiness. The Stripe card has an Open Feature Activation button that takes you there. Invoices sent after that carry a card payment link, and a payment made through it is recorded on the invoice without anyone typing it in.

The link always asks for what is still owed

A payment link charges at most what the invoice still owes at the moment the client pays. If the client paid part by transfer and you recorded it, the link asks only for the rest. That is why recording payments promptly matters: it keeps the link honest. An invoice sent before you switched online payments on has no link; send it again to give it one.

Decide who pays by card

Not every client should get a card link. A corporate account that pays by transfer on terms will ignore it, and their accounts team may ask why it is there. On that client's commercial agreement, set Payment channel to On account (bank transfer) and their invoices go out without the card link.

Deposits: choose the number yourself

The company deposit rule lives in Settings > Operations > Deposits & cancellation, as Require deposit and Deposit percentage. A new workspace starts with a deposit switched on and a percentage already filled in, so open the screen and decide whether that matches how you work, rather than discovering it on a client's quote. If online payments are not set up, the screen warns you that the app cannot collect the deposit itself and you will need to take it by transfer.

An account client can have its own deposit on the agreement, with Deposit (%) and Deposit due (days from acceptance). Use that for clients who pay differently from your walk-in clients.

When a deposit or card payment was taken on the booking, it is moved onto the invoice when the invoice is issued. Do not record it a second time.
