Lesson 8 of 8 · 7 min
Money out: driver pay, partner bills and the export
Settle what drivers earned, see and pay what you owe partners, and hand your accountant one export of invoices, credit notes and payments.
4fleet records the money, you move it
Everything in this lesson works the same way: 4fleet works out and records what is owed, and you pay through your bank. Marking something as paid in 4fleet does not send money. Keep that in mind when you train whoever does your accounts, so nobody assumes a driver or a partner was paid because a status changed.
Driver settlements on a fixed cycle
Open Accounting > Payouts and the Drivers tab. Generate settlement takes a driver and a period and lists the completed jobs they drove, priced by the pay model on their driver record: commission on job prices without VAT, a flat rate per job, or a monthly salary for a whole calendar month. Hourly and hybrid pay cannot be settled here yet. Each job can only be on one settlement, so the same job is never paid twice.
Run settlements on the same cycle you pay drivers, weekly or monthly. Add any Deductions, check the Net payout, select Approve, pay the driver, then select Mark as paid. Drivers see the same settlements in their app under Earnings, so a figure you approve is a figure they can read.
What you owe partners
The Partners tab of Accounting > Payouts shows Partner payables by state, one row per currency. It is a reading screen: it tells you what is upcoming, awaiting approval, ready to pay, due, on hold or disputed. If a banner reports jobs without a partner cost, select Review missing cost and record the costs. A job with no cost is left out of every total, and your margin on it is unknown.
To act on the money, use Manage payouts, which opens the partner finance area under Partners. There, on the Finance tab, you turn approved payables into statement drafts, approve and issue the run, send each partner its invoice, and record the payment once you have paid it.
The export for your accountant
Your accountant does not need a login. Open Accounting > Reports, go to Export history and select New accounting export for the period. The file contains issued invoices, credit notes and payments, with the currency on every row. Drafts are left out and counted, voided documents appear as rows of their own outside the totals, and amounts in different currencies are never added together. It does not create journal entries; your accountant's software does the postings. A file is kept for 7 days, so download it when it is ready.
