Lesson 5 of 7 · 6 min
Extras, seasonal rules and event dates
Price child seats and meet and greet as extras, raise prices for peak dates and nights, set minimum hours for events, and recalculate bookings safely.
Extras the client chooses
Extras are things a client buys on top of the ride, such as a child seat or meet and greet. Set them up once in Settings > Services & pricing > Rate cards, under Extras & Add-ons. When you generate a quote, tick the ones the client asked for under Extras and each appears as its own line.
For a one-off cost such as a ferry crossing, use a fee on that quote instead. Do not add the same item both as an extra and as a fee, or the client pays for it twice.
Seasonal rates
Seasonal Rates, under Advanced on the same tab, raise or lower prices by date and time. Each rate has a Type such as Peak Season, Weekend or Night, and a Multiplier where 1.25 means 25 percent more. You can limit it to days of the week, hours of the day or a date range.
The multiplier is applied to the base fare of a job on the job's date and time, before extras, client discounts and the minimum charge. Seasonal and event pricing is available on every plan.
Event minimums
Special Events set a minimum for a kind of occasion, such as a wedding. Each event type has a Base Rate per hour and Minimum Hours. When a job for that event is shorter than the minimum, the quote is raised to the minimum hours at that rate, and the assumptions say so. 4fleet recognizes the event from the event type on the quote or from the client's special requests, so read the assumptions on wedding quotes to confirm the minimum was used.
Recalculating a booking
After a booking changes, Recalculate Price on its Commercial tab works the price out again from your current rates, dates and extra charges. A booking with an agreed or paid price is protected: the recalculation is blocked and the message Price left unchanged appears. On other bookings the new total can be higher or lower than the price you gave the client, so read both amounts in the dialog and choose Keep current price when the old price is the one the client agreed to.
Step by step in the Help Center
- Generate a quote from your rates
Price an enquiry from your own rates, read the breakdown and warnings, and recalculate after a change.
- Add a fee or discount to a quote
Add tolls, parking or another fee, or a discount, as a separate line on a draft quote and see the total change.
- Add extra charges or recalculate a booking price
Add a parking or waiting charge to a booking, invoice it separately if needed, or recalculate the booking price and review the change first.
