Hourly, as-directed and day hire pricing

How 4fleet counts the hours, how hourly packages and overtime work, what a missing daily rate does, and why disposal hours are never stop time.

Where the hours come from

An hourly or as-directed job is priced by the hour, so the number of hours matters more than the route. 4fleet takes the hours from the Hours field in Pricing Configuration when you fill it in. Without it, the hours are worked out from the drive and stop time of the job, rounded up to whole hours. With no duration at all, 3 hours are assumed and the quote is marked Needs Details.

When a client asks for "the car for the afternoon", enter the hours they asked for. Do not leave the engine to guess.

Hourly packages

If you sell fixed blocks, set them up as packages in Settings > Services & pricing > Rate cards, under Advanced and Hourly Packages. A package has Hours, a Total Price and an Overtime Rate.

The quote uses the largest package that fits inside the hours asked for and charges the remaining hours at that package's overtime rate, or at the class hourly rate when the package has none. A job shorter than your smallest package is billed as that package only when it is marked Minimum Package; otherwise it is priced by the hour.

Day hire and multi-day hire

Day hire uses the class daily rate. When the class has no daily rate, 4fleet charges 8 times the hourly rate and marks the quote Needs Details, so set a daily rate on every class you hire out by the day. Time beyond the day's included hours is charged as overtime. Distance is included in the day rate unless a distance allowance has been configured for it.

For a job where the driver stays away overnight, fill in Driver Accommodation (optional) when you generate the quote so the cost is on the quote instead of in your margin.

Hours at disposal are not waiting time

There are two ways to tell 4fleet that a car waits: an hourly job type, or minutes of waiting on a stop. Use one. Time spent at stops is added to the duration, and the duration sets the hours. If a client wants "4 hours at our disposal", make the job an hourly job with 4 hours and leave the stop waits empty. Entering the same hours as stop waiting as well bills them twice.
