The setup wizard: company, services and fleet

What each setup wizard step decides for later, which values to check twice, and why the starting rate needs a second look before longer quotes.

What the wizard is for

The wizard builds the smallest setup that can turn an enquiry into a quote: a base, one service with a rate, one real vehicle and a mailbox. It has five steps: Choose your path, Business base, Service and vehicle, Business email and First enquiry. Each step saves when you select Save and continue, so you can stop with Save and exit and pick up later on any device.

If you are moving from another system, the owner can choose Import existing data on the first step instead of typing everything in. Everyone else uses Set up manually.

Business base: the values that are hard to change later

Pick the Operating base from the map suggestions, not as typed text. The base is where distance, empty travel and scheduling are measured from, and a typed address without coordinates gives you none of that.

Pricing currency, Time zone and Distance unit are filled in from your primary market. Confirm them before you continue: every booking time, price and document is written with them, and changing the time zone later goes through a review of the future bookings, reminders and tasks it affects. The Tax system is only a suggestion based on your legal country. Check it with your accountant; tax rates are a separate setting.

Service and vehicle: two rates with different jobs

The wizard asks for a Minimum fare per trip and an Hourly rate. The hourly rate prices hourly and as-directed work. The minimum fare is saved on the class rate card as the minimum charge, a floor under every quote. The base fee starts at zero.

The wizard does not ask for a distance rate, so the card starts with a rate per kilometer or mile of zero. Until you set one, a transfer quotes at the minimum fare whatever the distance. When you add the distance rate, the minimum stays a floor: short transfers cost the minimum, longer ones cost the distance price.

Running the wizard again keeps your rates

If the class you pick already has a rate card, the wizard leaves it as it is. An existing vehicle keeps its class. Change rates in the class rate card screen, not by running the wizard again.

Two choices that change every price

Charge for empty driving is off by default, so a price covers only the job itself. Turn on From your base to the pickup or From the drop-off back to your base only if your current prices already include that driving.

Business hours are used by the Assistant and by automatic replies. Choose 24/7 only if someone really answers at night.
