Chase quotes that went quiet
Find sent quotes with no answer after three days, get polite follow-up drafts in the client's thread, and follow-up tasks where there is no email.
What it does
Carson lists the quotes you sent more than three days ago that the client has not accepted and that have not expired. For each one with an email from the client, it drafts a short reply in that thread asking whether they would like to go ahead. For the rest, it proposes a follow-up task for tomorrow. Nothing is sent: the drafts wait in your Drafts folder until you send them yourself.
Before you start
- Drafting replies needs the Operations or Scale plan. On Solo and Starter, Carson can still build the list and propose tasks, but tells you that drafting is not on your plan.
- The quotes were sent from 4fleet, so the enquiry has a record of when each version went out.
- Carson asks before it saves a draft or a task. An Owner can change that for Inbox and Tasks & notes in the Assistant's action permissions, but Auto is honoured only on the Scale plan.
Steps
- Open Assistant. The Chat tab opens first.
- Paste this prompt into Message Carson... and press Enter:
List enquiries in status quoted. If the list is truncated, tell me the total count and say that you are working on the newest ones. For each one, read its quote versions and keep only those whose latest sent quote was sent more than 3 days ago and is not accepted, and whose quote expiry date has not passed. Show me a table: enquiry number, client, quote total with currency, sent date, expiry date. Then, for each enquiry in the table, look for emails linked to it. Where there is an email from the client, draft a short, polite follow-up reply in that thread asking whether they would like to go ahead. Do not change the price, dates or any terms, and save them as drafts only. For each enquiry with no linked email from the client, propose a follow-up task for tomorrow with a one-line note saying what to ask.
- Read the table. Remove any enquiry you already chased by phone: tell Carson "skip ENQ-..." before you approve anything.
- For each draft, Carson shows a card. Select Approve to save the draft, or Reject to skip it.
- For each task, select Approve to create it, or Reject.
- Open Email, go to Drafts, open each draft, read it, and select Send when it is right.
What you get
- A table of the quotes that went quiet, with total, currency, sent date and expiry date.
- Reply drafts in the client's own thread, in Drafts. Your default email signature is added to each one.
- Follow-up tasks in Tasks, linked to the enquiry and due tomorrow.
Tips and gotchas
- Carson sees the 25 newest enquiries in status quoted. If you have more, it says how many there are in total; run the workflow again after you have dealt with the first batch.
- An enquiry moved to Quoted by hand, without a sent quote, drops out of the table because no version was sent.
- If you use automatic quote follow-ups, look at the thread before you send a draft, so the client does not get two reminders on the same day.
- An enquiry with no linked email gets a task, not a draft.
- The draft is written only from the thread and the enquiry. If something it needs is not there, it writes [PENDING] instead of guessing. Replace it before you send.
- Carson cannot send a free-text email itself. Sending the drafts is always your step.
Step by step in the Help Center
- Schedule a follow-up reminder for a quote
Set a reminder task to call or email a client about a quote on a chosen day, so the quote does not go cold.
- Turn on automatic quote follow-ups
Switch on automatic follow-up emails after a quote is sent, set the delays and choose whether silent enquiries close as lost.
- Approve or reject an action the Assistant prepared
Review a change the Assistant proposes, compare before and after, then approve or reject it from the chat or the Approvals tab.
