Airport meet and greet: a driver checklist

An airport pickup is where a chauffeur service is judged first. The passenger is tired, the terminal is busy, and the driver is the first person from your company they meet. A short, fixed checklist makes the pickup the same every time, whichever driver is on it.
Before leaving for the airport
- Check the flight status, not only the scheduled time. A delay changes when the passenger lands, but the office decides whether the pickup time moves.
- Read the meeting instructions on the job: terminal, meeting point and anything the passenger asked for.
- Have the passenger's name as it should appear on the sign, and their phone number.
- Know how many passengers and how much luggage to expect, so the car has room.
At the airport
- Arrive with time to park and reach the meeting point before the passenger comes through.
- Hold a sign with the agreed name, large enough to read across the arrivals hall. Use the name the client agreed, not the full booking details.
- Keep your phone on and reachable. A passenger who cannot see you will call.
- If the flight is late or the passenger is slow through passport control, wait at the agreed point and keep the office informed.
Meeting the passenger
- Confirm the passenger's name before you take any luggage.
- Count the bags against the booking and offer help with them.
- Tell the passenger roughly how far the car is.
- If the passenger is not the person on the sign, call the office before you leave with anyone.
After the pickup
- Record the actual waiting time on the job if it went past the free period, so the office can bill it correctly.
- Report anything unusual, such as extra luggage or an extra stop, before the end of the job.
Where 4fleet helps
The 4fleet driver app shows the job's pickup, passenger, meeting instructions and flight number together, and the office sees the flight status next to the booking. For the sign, the free airport pickup sign maker prints or shows a clean sign with the passenger's name and your company.

Frequently asked questions
What should go on an airport pickup sign?
The name the client agreed for the sign, and usually your company name. Avoid putting the full name and destination together on a sign that anyone can read.
Who decides if the pickup time moves when a flight is delayed?
The office. The flight status shows the delay, and the office decides and updates the pickup time.
How long should a driver wait at the airport?
As long as your waiting terms say. Many operators allow a free period after landing and charge for waiting after it, and the driver keeps the office informed throughout.
