Goal
Create a driver profile that you can assign to jobs, with the licence date that compliance checks read.
Prerequisites
- Your role can create drivers (Owner, Admin or Ops Manager by default).
- You have the driver's full name. Have an email address ready if you want to invite them to the driver app afterwards.
- Add the vehicles first if you want to set a primary vehicle for the driver.
Steps
- Open Cars & drivers and select the Drivers tab.
- Select Add driver. If the list is empty, the button reads Add your first driver.
- Under Basic information, enter Full name. Add Email, Phone and Hire date as well. The hire date is filled with today's date.
- Under License information, enter License number, License class and Expiry date. Without an expiry date the driver counts as missing in the compliance score.
- If you can see pay details, set Payment method and the rate field it shows under Payment and rates, and keep Status on Active.
- Under Qualifications and vehicle assignment, tick the Qualified vehicle classes the driver may drive. Leave all unticked if the driver may drive any class.
- Optional: set Languages spoken, Specializations, Primary vehicle and Secondary vehicle.
- Select Add driver. A Driver created successfully message confirms the save.
Expected result
The driver appears in the Drivers list and can be chosen when you assign a driver to a job. The profile has no app login yet. Use the invite step to give the driver access to the driver app.
Troubleshooting
- If the driver shows No license date or an Expired badge in the list, open Edit driver and enter the licence Expiry date.
- If nothing happens when you select Add driver, check that Full name is filled in. A profile needs a name.
- If the Payment and rates section is missing, your role cannot see pay details. The section stays hidden so that saving cannot overwrite existing rates.
- If you are on a Solo plan, only the workspace owner can create a driver profile, and it is linked to the owner's own login.
- If a vehicle is missing from Primary vehicle, add it to your fleet first and reopen the form.
- If you ticked Qualified vehicle classes by mistake, select Edit driver on the row and clear the box.
