Goal

Add one vehicle to your fleet with the class, seats and luggage space that quoting and assignment rely on.

Prerequisites

  • Your role can create fleet records (Owner, Admin or Ops Manager by default).
  • Your plan has a free vehicle slot. Each plan includes a number of vehicles, and a Solo plan includes one.
  • You know the make, model, year and registration of the vehicle.

Steps

  1. Open Cars & drivers and select the Fleet tab.
  2. Select Add vehicle. The Add New Vehicle window opens.
  3. Enter Make, Model, Year and Registration. All four are required.
  4. Open Vehicle class and pick the class. Classes you already have are listed under Your classes. Standard classes you have not used yet are listed under Add to your catalog, and picking one adds it to your catalog when you save the vehicle.
  5. Check Passenger capacity and Luggage (large bags). Both follow the class until you type your own numbers.
  6. Optional: set Status, Fuel type, Color (optional) and Photo URL (optional). The photo field takes a web address that starts with https. It does not upload a file.
  7. Select Add vehicle. A Vehicle added to your fleet message confirms the save.

Expected result

The vehicle appears in the Fleet list and is offered when you assign a driver and vehicle to a job. Adding a class from Add to your catalog creates the class only. It does not set any rates, so price the class under Settings > Services & pricing > Rate cards before you quote with it.

Troubleshooting

  • If the save is refused because you reached your plan limit, open Settings > Plan & billing > Usage & add-ons to see your vehicle count. Then add capacity if your plan offers vehicle add-ons, or change plan.
  • If a field shows a red message such as "Registration is required", fill that field. Make, model, year, registration and class cannot be empty.
  • If the Add vehicle button is missing, your role cannot create fleet records. Ask an Owner or Admin.
  • If the photo field rejects your entry, paste a full web address. A file from your computer cannot be attached here.
  • If you cannot find the class you need, add it first under your vehicle classes, then come back and add the vehicle. Classes are managed under Settings > Services & pricing > Service setup.
