Goal
Give a driver a login for the driver app, either by email or by a link you send yourself.
Prerequisites
- The driver already has a profile, and the profile has an email address.
- For the email invitation, your business mailbox is connected under Settings > Communications. Without it, use the link instead.
- Your role can edit drivers.
Steps
- Open Cars & drivers and select the Drivers tab.
- Find the driver's row. Rows that already have an app login show Has access. Rows without one show Invite and Copy invite link. A driver whose invitation is still unaccepted shows only Copy invite link.
- To send an email, select Invite. A Driver invited message confirms it, and says whether the invitation email was sent.
- To send the invitation yourself, select Copy invite link instead. An Invite link copied message confirms that the link is on your clipboard.
- Paste the link into a message to the driver. Use only the newest link you copied.
- If a message says Account already exists and offers Link account, the email already belongs to a user in your company, usually an owner who also drives. Select Link account to attach that login to the driver profile.
- Ask the driver to open the link and finish sign-in. The row shows Has access once the driver has accepted.
Expected result
The driver's profile is linked to a login and the driver can sign in to the driver app. The link is valid for 7 days. Until the driver accepts, the row keeps offering Copy invite link.
Troubleshooting
- If a message says to add an email to the driver before inviting them, edit the driver, enter an Email and invite again.
- If a message says that email is not configured, connect your mailbox under Settings > Communications, or use Copy invite link.
- If the toast says the invitation email could not be sent, the profile and login were still prepared. Use Copy invite link and send the link yourself.
- If an earlier link stops working, copying a new link has replaced it. Every copy makes the earlier link invalid, so send the driver only the latest one.
- If the driver does not open the link within 7 days, copy a new link and send it again.
- If the invitation is refused because you reached a plan limit, open Settings > Plan & billing > Usage & add-ons to see which limit it is.
- If Invite is missing, your role cannot edit drivers, or the driver already has a login.
