Read a booking: jobs, stops and what is still missing
Find your way around a booking, see which job still lacks a driver, vehicle or detail, and leave the driver the notes they need.
What each tab is for
A booking opens on Overview. Itinerary holds the jobs and their stops. Resources is where drivers and vehicles are assigned, and Partner quotes where a partner is asked to cover a job. Commercial holds the price, charges, invoices, payments and refunds. Communications holds the confirmation and change emails. Activity & tasks and Documents & notes keep the history and the paperwork.
A dispatcher spends most of the day in Itinerary and Resources; the accounts side lives in Commercial. Knowing which tab owns what saves the hunting.
Jobs carry the work
Each job has its own pickup, time, driver, vehicle and fare, and the booking total follows the sum of the job fares. A stop sits inside a job: in Edit job, Intermediate stops lists the places the car calls at between pickup and dropoff.
When something changes, change the job it belongs to, not the booking as a whole. A new pickup time for the return is an edit to the return job; collecting a second passenger on the way is a stop on that job.
Operational readiness
While a booking is open, the Operational readiness summary shows how many required details are complete, for example "3 of 4 required details complete". Open it to see what is missing, one line per problem, such as A job has no vehicle or driver assigned yet. or A job is known not to fit its vehicle. When seats or luggage cannot be checked, it says so, which usually means the passengers and luggage on the job or the seats on the vehicle were never entered.
Make it a habit to open readiness on tomorrow's bookings before the end of the day. A missing driver found at 6 pm is a phone call; found at 6 am it is a missed pickup.
Notes for the driver
The Notes card keeps three kinds of note apart. Dispatcher notes are internal to your team. Driver notes are included in the driver briefing PDF, so write there what the driver needs at the door: the gate code, the name board, the client's habit of being late. Client notes are read-only and come from the client's profile.
Removing a job
Deleting a job removes it from the schedule and keeps its history on the booking. On a booking that is already invoiced or paid, removing a job does not change the price or the invoice; issue a credit note yourself if the client is owed money.
