Lesson 4 of 8 · 7 min

The dispatch board and calendar

Plan the week in the Calendar, run the day on the Dispatch board, and read unassigned jobs, conflicts and the driver's answer at a glance.

Calendar for the week, Dispatch for the day

Calendar shows every job, flight, task, maintenance slot, time-off and invoice due date for a Day, Week or Month. Use it to plan ahead: who is off on Friday, which vehicle is in for service, which week is already full.

Dispatch is the same day seen driver by driver. You open it from the view switcher in Calendar or in Bookings; both show the same board. Each driver has a lane, jobs sit in it by time, and an Unassigned lane at the top holds the jobs nobody covers yet. Jobs a partner covers sit in a lane of their own.

Read the numbers first

Above the calendar grid, the tiles Jobs in view, Unassigned, Conflicts and Tracked flights tell you what the period holds before you look at a single job. On the Dispatch board, the summary line counts the day's jobs and assignments, and Review conflicts jumps to the first clash.

A good routine is to clear Unassigned and Conflicts for tomorrow before you leave, then check the board again first thing in the morning.

Assigning from the board

Drag a job from Unassigned onto a driver's lane to assign that driver. On a phone or tablet, tap the job and pick from the Assign driver sheet. If the driver already has a job at that time, the board shows Scheduling conflict; Owners and Admins can choose Assign anyway, everyone else picks another driver.

A job's block includes the empty travel to the pickup and back to base when those times are known, so two blocks that touch really do leave no time between them. The board assigns only the driver; set the vehicle on the booking.

The driver's answer on the card

Each job card on the board shows whether the driver has answered: Awaiting, Accepted or Declined. An assignment is not done until it says Accepted. The next lesson covers what 4fleet does when it stays at Awaiting.

What moving a job does not do

Dragging a booking to a new time in Calendar asks Reschedule Event? and checks conflicts, but it does not email the client. Bookings with several jobs cannot be dragged; change their times on the booking. The live map on the Dispatch board stays empty until Live driver tracking is turned on, which the flights and tracking lesson covers.
