Transportation invoice template for chauffeur services

A transportation invoice should identify the supplier, customer, job, service date and each agreed charge, with the applicable tax treatment and amount due. This free PDF and Excel template separates the fare from waiting, tolls, parking, airport fees and fuel adjustments. Review local invoice requirements before issuing it to a customer.

What the invoice template includes

An invoice requests payment; a receipt acknowledges payment received. The workbook calculates charges but leaves tax treatment for review. Blank tax is not zero or exempt.

Field blockWhat to record
Supplier and customerEnter the legal supplier identity, address and applicable registration details, then the billing customer rather than assuming the passenger is the payer. Include a purchase-order reference where the customer requires one, and verify the billing address before sending.
Number and datesUse a controlled invoice sequence, issue date and supply date or tax point. Reference the booking; never reuse an issued number for an unrelated job.
Charge rowsUse a clear service description, quantity and unit price. Waiting, tolls, parking, airport fees and fuel adjustments have separate lines. Include only charges permitted by the agreement and reviewed by the office, with receipt references where relevant.
Tax and currencyApply the reviewed treatment per line and state the invoice currency. The workbook uses percentage inputs only after you enter them. Exemption, reverse-charge wording and required local-currency tax equivalents need specific review rather than a guessed zero.
Payment and balanceState the due date or payment terms, approved payment instructions, received deposits and remaining balance. Do not label an amount paid until the payment record supports it. A quote, invoice and receipt are different documents in the job history.

How to invoice a chauffeur job line by line

  1. Match the job and payer

Check the customer, service date, agreed fare and any purchase order against the completed booking. Confirm who receives the invoice if the booker and passenger differ. Keep unnecessary passenger details out of the billing description.

  2. Review each additional charge

Add a description and unit basis for waiting or extra stops. Reconcile toll and parking receipts, then decide whether they are chargeable under the agreement. Avoid charging the same cost within a bundled fare and again as an extra.

  3. Check tax and reconcile payment

Have the correct treatment confirmed before entering line tax rates. Review rounding, required currency equivalents and legal invoice wording. Record a deposit only when received, check the balance, then save an identifiable issued copy.

VAT and sales tax notes by market

United Kingdom

HMRC VAT Notice 700 lists details such as the unique sequential number, tax point, supplier VAT registration, customer, service description, net values and VAT. Total VAT is expressed in sterling. Check the relevant section for your supply; the worksheet does not decide registration or the rate.

Ireland

Revenue lists invoice identity, supplier and customer details, service information, VAT-exclusive pricing and VAT breakdown. Foreign-currency invoices also need corresponding euro figures. Complete the required currency information and any special wording before issuing; do not rely on the workbook as a VAT eligibility check.

No state sales-tax rate or blanket passenger-transport exemption is supplied. Identify the jurisdictions connected to the service and obtain the relevant state revenue guidance before completing the tax treatment. The example values are training assumptions and do not establish a tax obligation.

From blank sheet to useful record

A completed invoice

The fictional Ashford Chauffeurs draft uses GBP 180 for a fare and GBP 20 for agreed waiting, giving a GBP 200 net subtotal. These are invented training inputs, not market rates. Tax is marked for review, so no payable total or tax rate is presented as approved. The example deliberately stops before issue: confirm the service treatment, tax point and required wording, then complete the remaining fields. The downloadable workbook likewise starts with blank quantities, prices and tax rates.

4fleet supports invoices linked to bookings and online card payment through Stripe. Billable extras can be recorded on the job; review the invoice lines and totals before issue rather than assuming every recorded expense is automatically passed through. Invoice questions

What should a transportation invoice include?

Include supplier and customer details, a unique number, dates, service description, agreed charges, currency, applicable tax and amount due. Check the specific invoice requirements for your jurisdiction and registration status.

Do I add VAT to a chauffeur invoice?

Only according to the applicable treatment of the supplier and service. Check HMRC or Irish Revenue and your adviser. Do not choose a tax rate from this worksheet or assume every passenger service is treated alike.

How do I invoice waiting time?

State the agreed waiting basis, quantity and price, supported by the job record. Distinguish included waiting from chargeable waiting and review any dispute before issuing the line.

Should tolls and parking be separate lines?

Separate lines help explain reviewed extras. Whether they are chargeable and how they are taxed depends on the agreement and applicable rules; a receipt alone does not settle either question.

When should a chauffeur invoice be sent?

Follow the agreed billing cycle and applicable tax invoicing deadlines. Confirm the service record, customer and extras first. This template does not set a universal deadline or replace your invoice-control process.
